Job Overview: The Senior Administrative Assistant plays a crucial role in providing comprehensive administrative support to the office where the position is located. This position is typically supervised by more senior local or international staff members who monitor performance and provide guidance. The incumbent is expected to liaise with local suppliers, officials, and Implementing Partners on routine matters, ensuring that administrative processes run smoothly. The role requires a strong understanding of UNHCR's regulatory framework, including the UN Charter and relevant policies, as well as a commitment to uphold the organization's core values of professionalism, integrity, and respect for diversity. The Senior Administrative Assistant will be responsible for managing various administrative tasks, ensuring that the office operates efficiently and effectively, and supporting the overall mission of UNHCR.
Duties and Responsibilities: The duties and responsibilities of the Senior Administrative Assistant include but are not limited to: assisting in the interpretation and processing of entitlements, issuing contracts, and maintaining personnel records; attending meetings related to administrative matters; monitoring attendance records, leave plans, and visa requirements for UNHCR staff; searching office files for information and preparing reports and correspondence; requisitioning office supplies and managing inventory; assisting with travel arrangements and visa issuance; drafting correspondence and reports, including confidential documents; managing the supervisor's calendar and appointments; receiving visitors and handling inquiries; organizing and managing UNHCR office and residential compounds; facilitating official missions; preparing attestations and certificates; processing claims; identifying and managing risks; and performing other related duties as required.
Required Qualifications: Candidates must possess a minimum of 2 years of relevant experience with a High School Diploma, or 1 year of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include proficiency in IT and computer literacy, familiarity with UN/UNHCR administrative rules and procedures, and experience with PeopleSoft applications. Additionally, candidates should demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment. Completion of UNHCR learning programs or specific training relevant to the functions of the position is desirable.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum. However, candidates with a Bachelor’s degree or higher in fields such as Business Administration, Finance, Office Management, or Human Resources will be given preference. Relevant certifications in these areas are also beneficial and may enhance a candidate's application.
Experience: The level of experience required for the Senior Administrative Assistant position is at least 2 years of relevant experience for candidates with a High School Diploma. For those with a Bachelor’s degree or higher, only 1 year of relevant work experience is necessary. This experience should be in administrative roles or similar positions that demonstrate the ability to handle the responsibilities outlined in the job description. Candidates with experience in international organizations or NGOs will be particularly well-suited for this role.
Languages: The mandatory language requirement for this position is proficiency in English, as well as knowledge of the UN working language of the duty station, which is Hungarian in this case. For General Service jobs, candidates should have a good command of English and/or the UN working language of the duty station. Knowledge of additional languages is considered an asset and may enhance a candidate's application.

The role is classified at the GS5 level, and candidates must be legally present in Hungary at the time of application, recruitment, and hire. The salary range for this position is between NET 684,443 HUF and NET 801,631 HUF. UNHCR staff members holding a temporary appointment will accrue annual leave at the rate of 1.5 working days for each full calendar month of service, totaling 18 working days per year. Additionally, staff members with a temporary appointment of at least 6 months will participate in the United Nations Joint Staff Pension Fund (UNJSPF) and will be enrolled in the Medical Insurance Plan (MIP).
