Job Overview: The Human Resources Assistant is responsible for managing complex administrative and transactional tasks related to the efficient implementation of a broad range of Human Resources functions for all categories of staff in the office. This role ensures accurate and timely delivery of HR processes in compliance with UN and UNICEF HR and financial rules and regulations. The work performed by the HR Assistant is crucial as it affects not only the timely delivery of HR processes but also indirectly impacts the delivery of programs by client departments and divisions. The HR Assistant plays a key role in providing routine and specialized information to client departments and senior team members regarding procedures and the progress of delivery against established standards and deadlines. The position requires a proactive approach to managing tasks and projects effectively, ensuring that all HR, recruitment, and payroll processes are administered accurately and efficiently.
Duties and Responsibilities:
Process Accuracy and Compliance: Ensure all HR, recruitment, and payroll processes are administered accurately and in compliance with policies and procedures. Monitor and verify data to maintain the highest standards of accuracy, quality, and confidentiality. Ensure data privacy and protection in all activities.
Timely Process Completion: Efficiently plan and prioritize tasks based on workload and timelines of case requests, ensuring timely and error-free processing. Keep abreast of Service Level Agreements (SLA) compliance and utilize daily monitoring reports to manage workload effectively.
Knowledge Base Contribution: Contribute to updating knowledge articles, FAQs, and SOPs, ensuring that documentation is current and accessible.
Continuous Improvement and Simplification: Identify opportunities to simplify, streamline, and standardize processes to maximize efficiency.
Stakeholder Collaboration: Collaborate with internal and external stakeholders to ensure effective communication and coordination, participating in testing for any business process and system-related changes.
Required Qualifications: Minimum requirements include completion of secondary education, preferably supplemented by technical or university courses related to the field of work. A minimum of five years of progressively responsible administrative or clerical work experience is required. A completed university degree from an accredited institution will count towards the minimum work experience requirement. Candidates holding a bachelor’s degree in relevant fields require a minimum of two years of relevant experience, while a relevant master’s degree may replace an additional two years of experience. Skills required include excellent communication, presentation, and problem-solving skills, as well as knowledge of digital tools and systems. The ability to manage tasks and projects effectively and prioritize is essential.
Educational Background: The educational background required for this position includes completion of secondary education, with a preference for additional technical or university courses related to Human Resources or administrative functions. A university degree is highly valued and can substitute for some work experience requirements, enhancing the candidate's qualifications for the role.
Experience: Candidates must have a minimum of five years of progressively responsible administrative or clerical work experience. This experience should demonstrate increasing levels of responsibility and complexity in tasks. For those with a bachelor's degree, a minimum of two years of relevant experience is required, while a master's degree may substitute for additional experience, showcasing the importance of educational qualifications in relation to work experience.
Languages: Fluency in English, both verbal and written, is mandatory for this position. Knowledge of an additional UN language such as Arabic, Chinese, French, Russian, or Spanish is considered an asset and may enhance a candidate's application, particularly in a diverse and multicultural work environment.
Additional Notes: The position offers a competitive salary exempt from national income taxes in Hungary on United Nations emoluments, with a net minimum monthly salary of HUF 684,00
