Job Overview: The Project Assistant will play a crucial role in supporting the implementation of the Abeona Programme, which focuses on complementary labour pathways in Lebanon. This position requires a proactive individual who can assist in various project activities, including monitoring and reporting. The Project Assistant will be responsible for compiling and presenting data related to the project, ensuring that all activities align with the budget and available resources. The role involves significant administrative coordination, requiring the individual to liaise with different organizational units and external stakeholders to facilitate project implementation. The Project Assistant will also be tasked with drafting reports, correspondence, and other documentation, as well as organizing meetings and training sessions. This position is essential for ensuring that the project runs smoothly and meets its objectives, making it a vital part of the team.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include:
Assisting in the implementation and monitoring of project activities under the Abeona Programme.
Retrieving, compiling, summarizing, and presenting information and data on specific project topics.
Monitoring the project budget, verifying the availability of funds, obtaining necessary approvals, and updating budget-related information.
Supporting the administrative coordination of project implementation, which involves liaising with various organizational units and external parties to initiate requests and obtain necessary clearances.
Drafting status reports that identify shortfalls in delivery and bringing them to the attention of the supervisor.
Drafting correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
Organizing meetings, workshops, and training sessions.
Responding to general information requests and inquiries, and maintaining files and records.
Performing other related duties as assigned by the supervisor.
Required Qualifications: The position requires a school diploma with four years of relevant experience, or a Bachelor’s degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates must demonstrate a strong understanding of migration-related issues and possess the ability to work effectively with various stakeholders, including government authorities and international organizations.
Educational Background: Candidates must possess either a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields. The degree must be from an accredited academic institution, as recognized by the UNESCO World Higher Education Database.
Experience: Candidates should have experience in liaising with governmental authorities, national and international institutions, United Nations agencies, and non-governmental organizations. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations or in a multi-cultural setting is considered an advantage, as it demonstrates the candidate's ability to navigate complex environments and work effectively with diverse populations.
Languages: Fluency in English and Arabic is required for this position, both oral and written. The IOM's official languages also include French and Spanish, and proficiency in these languages may be beneficial. Language skills will be specifically evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the communication requirements of the role.
Additional Notes: This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for Lebanon will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the concerned government, where applicable. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
