Job Overview:
The Project Assistant will play a crucial role in supporting the IOM Czechia helpline, which serves as a vital resource for migrants seeking information and assistance. Under the direct supervision of the Head of Protection and overall supervision of the Head of Office, the Project Assistant will be responsible for receiving calls from migrant callers, providing accurate information, and assisting with their inquiries. This position requires a proactive approach to information provision and operational support, ensuring that all interactions are handled with transparency and respect. The Project Assistant will also collaborate with local partners and governmental institutions to facilitate referrals and provide comprehensive support to beneficiaries. The role involves maintaining detailed records of cases, conducting needs assessments, and assisting in the preparation of reports for donors, making it essential for the candidate to possess strong organizational and communication skills.

Duties and Responsibilities:
The Project Assistant will have a diverse set of responsibilities, including but not limited to:
  • Receiving and responding to calls on the IOM Czechia helpline, providing accurate and timely information to migrant callers.
  • Maintaining clear and organized records of cases assisted, ensuring that all information is documented for future analysis.
  • Collaborating with local partners and governmental institutions to address specific requests, such as mental health support.
  • Conducting preliminary evaluations of beneficiaries' needs and gathering necessary data for project implementation.
  • Assisting in the preparation of periodic and final reports to donors, including filing and preparing supporting documentation.
  • Participating in service mapping activities to enhance the effectiveness of the helpline.
  • Acting as an interpreter/translator when necessary, facilitating communication between beneficiaries and service providers.
  • Actively participating in relevant events, meetings, and training sessions to enhance skills and knowledge applicable to the role.
  • Undertaking national travel as assigned to fulfill job responsibilities. 1
  • Performing other related tasks as required by the supervisors.

Required Qualifications:
Candidates must possess a Bachelor’s degree or higher in Political Science, Social Science, International Relations, Law, or a related field from an accredited academic institution, along with a minimum of two years of relevant professional experience. Alternatively, candidates with a High School degree from an accredited institution and four years of relevant professional experience will also be considered. The role requires strong interpersonal skills, the ability to work effectively in a multicultural environment, and a commitment to the values of the IOM.

Educational Background:
The educational background required for this position includes a Bachelor’s degree or higher in a relevant field such as Political Science, Social Science, International Relations, or Law. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates with a High School diploma may also apply if they have the requisite professional experience.

Experience:
A minimum of two years of experience is required, specifically in liaising with governmental authorities, national or international institutions, or NGOs. Additionally, candidates should have at least two years of experience providing direct assistance to migrants, demonstrating a strong understanding of the challenges faced by this population and the ability to navigate complex systems to provide support.

Languages:
Fluency in English, Ukrainian, and Czech is mandatory for all applicants, both oral and written. Proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments. Knowledge of IOM’s official languages, which include French and Spanish, is considered an asset but not required.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for the Czech Republic will be eligible for consideration. The appointment will be contingent upon certification of medical fitness, verification of residency, and necessary government authorizations. The indicative take-home pay for this vacancy is 42,800 CZK per month. IOM has a zero-tolerance policy regarding conduct incompatible with its objectives, including discrimination and harassment.
