Job Overview:
The Project Assistant position is crucial for supporting the implementation and monitoring of project activities aimed at assisting forcibly returned Brazilian citizens. The successful candidate will work under the direct supervision of the Project Coordinator based in Brasília and will be responsible for coordinating with various stakeholders, including government entities, civil society partners, and academic institutions. The role involves providing administrative support, facilitating the reception and reintegration of returnees, and ensuring that project activities are executed effectively and efficiently. The Project Assistant will also be involved in developing informational materials and ensuring the quality of IOM products through text editing and translation. This position requires a proactive approach to problem-solving and the ability to manage multiple tasks under pressure while maintaining a focus on the project's objectives.
Duties and Responsibilities:
The duties and responsibilities of the Project Assistant include: assisting in the implementation and monitoring of project activities; providing support to coordinate work with government, civil society partners, private sector entities, and academic institutions; offering administrative support by identifying and tracking follow-up actions; assisting with travel arrangements, data collection, and procurement actions as needed; supporting the operational, administrative, and procurement aspects of the ongoing project; providing administrative support for meetings, workshops, seminars, and conferences; facilitating the reception and reintegration of forcibly returnees in collaboration with local actors and the state coordinator; developing and disseminating informational materials; editing, proofreading, and translating documents to ensure quality; planning, organizing, and managing logistics for various events and activities; and performing other work-related tasks as required.
Required Qualifications:
Candidates must possess a high school diploma with a minimum of three years of relevant professional experience, or a university degree in social sciences, political sciences, psychology, law, public policy, health, or a related field from an accredited academic institution with at least one year of experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Additionally, candidates should have experience in translation and revision of technical and business documents, technical writing, editing, and reporting, as well as administrative activities and processes. Previous experience in an operations unit at an international organization is considered an advantage, along with experience in project reporting.
Educational Background:
The educational background required for this position includes a high school diploma or a university degree in relevant fields such as social sciences, political sciences, psychology, law, public policy, health, or related areas. The degree must be from an accredited academic institution recognized by the UNESCO World Higher Education Database. Candidates with a higher level of education may be preferred, especially if they have relevant experience in the field.
Experience:
The position requires candidates to have a minimum of three years of relevant professional experience if they hold a high school diploma, or at least one year of experience if they possess a university degree. Experience in translation, technical writing, editing, reporting, and administrative processes is essential. Previous work in an international organization, particularly in an operations unit, is advantageous and will be viewed favorably during the selection process.
Languages:
The mandatory language requirement for this position is advanced proficiency in Portuguese. Additionally, candidates with advanced proficiency in English and Spanish will have an advantage. Proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. IOM's official languages are English, French, and Spanish, and knowledge of these languages can enhance a candidate's profile.
Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Brazil will be eligible for consideration.
