Job Overview:
The Assistant position is crucial for providing administrative support and secretarial assistance to senior managers within the EBRD. This role is designed to ensure the smooth operation of the managers' business activities, which includes managing travel arrangements, expenses, and scheduling high-level meetings. The Assistant will interact with various stakeholders across the organization, including Managing Directors and external clients, ensuring effective communication and coordination. The position requires a proactive approach to managing tasks and responsibilities, as well as the ability to work under pressure and maintain a high level of professionalism.

Duties and Responsibilities:
The Assistant will be responsible for a wide range of secretarial and administrative duties, including but not limited to: managing diaries and scheduling meetings, arranging travel and claiming expenses, drafting and proofreading correspondence, taking minutes during meetings, preparing presentations, maintaining filing systems, and coordinating departmental events. The role also involves liaising with external clients and service providers, ensuring that all interactions are handled professionally. The Assistant will support two Associate Directors and their teams, providing guidance to junior staff and ensuring continuity of operations in the absence of managers. Additionally, the Assistant will manage invoices for consultancy contracts and assist with various ad-hoc tasks as assigned by the Line Manager.

Required Qualifications:
Candidates must possess strong secretarial and administrative skills, with a proven track record in similar roles. Excellent organizational skills, a proactive attitude, and the ability to work independently are essential. Strong communication skills, both written and verbal, are required, along with attention to detail and accuracy. Familiarity with the EBRD's procedures and a capacity to build effective working relationships in a multicultural environment are also important. The ability to handle confidential information discreetly and exercise sound judgment is crucial for this role.

Educational Background:
A high school education is required, and while a recognized secretarial qualification is beneficial, it is not mandatory. Candidates should demonstrate proficiency in English, with strong written and oral communication skills. Knowledge of additional languages such as Russian, German, French, or Arabic is advantageous.

Experience:
The position requires prior secretarial and administrative experience, with a focus on organizational skills and the ability to manage multiple tasks simultaneously. Candidates should be comfortable working under pressure and have a flexible approach to their work. Experience in a multicultural environment and the ability to build relationships with clients and colleagues is essential.

Languages:
Fluency in English is mandatory, with excellent written and oral communication skills. Knowledge of another language, such as Russian, German, French, or Arabic, is considered a valuable asset.
