Job Overview: The Senior Supply Assistant position is crucial for managing and supporting all activities related to the supply chain function within the UNHCR operation in Sudan. This role encompasses warehousing, inventory management, transport management, and monitoring of supply activities. The incumbent will work under the supervision of a higher-level supply position and will be responsible for ensuring that supply activities are conducted efficiently and in accordance with UNHCR's Standard Operating Procedures. The position requires regular interaction with other UNHCR offices, UN agencies, NGOs, government partners, and commercial contractors to facilitate the supply function. The operational context in Sudan is complex, characterized by challenges such as customs clearance processes, hyperinflation, and security" style="border-bottom: 1px dotted #007bff !important;">security threats, which necessitate a proactive and adaptable approach to supply chain management.
Duties and Responsibilities: The Senior Supply Assistant will have a comprehensive set of duties and responsibilities, including but not limited to: assisting in the management of storage of goods according to best practices and UNHCR regulations; ensuring timely reporting of incoming and outgoing shipments; planning and implementing daily activities based on inventory movements; verifying inventories and ensuring they are owned by UNHCR; controlling storage conditions and ensuring safety; checking the quality of inventory; maintaining accurate documentation; investigating discrepancies; supervising personnel; and ensuring cleanliness and environmental compliance in the warehouse. The incumbent will also perform other related duties as required, demonstrating flexibility and responsiveness to the operational needs of UNHCR.
Required Qualifications: Candidates must possess a minimum of 2 years of relevant experience with a High School Diploma, or 1 year of relevant work experience with a Bachelor’s degree or equivalent. Relevant certifications in stock and warehousing management, supply chain, or logistics are also required. The ideal candidate should have strong technical skills in warehousing and inventory management, experience in managing logistics operations, and familiarity with UNHCR's operational context in Sudan. Additionally, candidates should demonstrate strong managerial skills, including the ability to supervise and coach local labor and transport service providers, as well as analytical thinking and problem-solving capabilities.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum, with a preference for candidates holding a Bachelor’s degree or higher in a relevant field. While specific fields of education are not mandated, candidates with qualifications in business administration, economics, logistics, or supply chain management will be viewed favorably. Relevant certifications and training in supply chain management and logistics are also beneficial.
Experience: The position requires candidates to have a minimum of 2 years of relevant experience in supply chain management, logistics, or warehousing. Experience in field operations, particularly in hardship locations, is highly desirable. Candidates with prior experience working with UN agencies or humanitarian NGOs in Sudan will have a competitive advantage. The role demands a strong understanding of inventory management, transportation logistics, and the ability to operate effectively in challenging environments.
Languages: English is the essential language for this position, and the incumbent must be able to read, write, understand, and communicate effectively in English. Fluency in Arabic is considered an asset, as it will facilitate communication within the local context and enhance operational effectiveness. Candidates should be comfortable attending meetings and producing reports in English.
