Job Overview: The Project Assistant will play a crucial role in supporting the IOM's initiatives in Guatemala, particularly in enhancing the capacities of government entities to facilitate the sustainable reintegration of returned Guatemalan migrants. This position requires the individual to work closely with the National Project Officer and the Programme Coordinator, ensuring effective coordination and implementation of project activities. The Project Assistant will be responsible for gathering and presenting data related to specific project topics, organizing meetings and training sessions, and monitoring the project budget. The role demands strong organizational skills and the ability to collaborate with various stakeholders to achieve project objectives.
Duties and Responsibilities:
Assist in the coordination, implementation, and monitoring of project activities according to the established work plan and action lines.
Collect, compile, summarize, and present information and data on specific project topics.
Organize meetings, workshops, and training sessions to facilitate project objectives.
Monitor the project budget, verify fund availability, obtain necessary approvals, and update budget-related information.
Support the administrative coordination of project implementation by collaborating with various organizational units and external partners.
Draft status reports identifying challenges in implementation and communicate them to the supervisor.
Prepare correspondence, reports, briefing notes, graphs, statistical tables, presentations, and other documentation.
Respond to requests and inquiries for information, establishing and maintaining files and records.
A minimum of three years of relevant professional experience in project management or related fields.
Strong understanding of migrant populations, human rights, and the protection of vulnerable groups.
Excellent organizational skills, attention to detail, problem-solving abilities, and time management skills.
Proficiency in using office software packages such as MS Word and Excel.
Educational Background: Candidates must possess a Bachelor’s degree in a relevant field such as Social Work, Business Administration, or Social Sciences from an accredited institution. The educational background should be complemented by practical experience in project management or related areas, ensuring that the candidate is well-equipped to handle the responsibilities of the role.
Experience: Candidates should have at least three years of professional experience in case management for migrant populations, with a strong emphasis on the return and reintegration of Guatemalan migrants. Experience in recruitment, selection, or employability processes will be highly valued. Additionally, familiarity with coordinating efforts among multiple stakeholders and managing beneficiary groups is essential. Experience working with international organizations or NGOs is considered an advantage, as is proficiency in office software packages.
Languages: Fluency in Spanish is required for this position, both oral and written. Proficiency in English is desirable but not mandatory. Knowledge of any Mayan languages will also be considered an asset. Language proficiency will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: This position is available only to internal candidates of the Organization. The appointment is subject to local recruitment, and only those holding a valid residence and work permit for Guatemala will be eligible for consideration. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
