Job Overview:
The Project Coordinator will play a crucial role in the quality improvement special initiatives team at the American Heart Association. This position is primarily home-based and is a full-time, benefits-eligible role funded by grants, with current funding set to expire on April 1, 2027, although there is potential for extension. The coordinator will be responsible for managing various projects, ensuring that all deliverables are met, and collaborating with multiple departments to achieve project goals. The role requires a proactive approach to project management, including organizing meetings, coordinating logistics, and maintaining communication with stakeholders. Duties and Responsibilities:
The Project Coordinator will be tasked with a variety of responsibilities, including:
  • Administering and organizing projects within the Healthcare Development team, ensuring that all project deliverables are met.
  • Collaborating with Program Consultants on grant agreements, payments, and tracking project status.
  • Managing daily project activities and working independently to achieve project goals.
  • Supporting project teams by planning and coordinating meetings, both virtual and in-person, including logistics such as venue booking, travel arrangements, and meal planning.
  • Coordinating regular communications with internal and external stakeholders to keep everyone informed of project progress.
  • Assisting in the preparation of reports and deliverables as required by project specifications.
  • Providing administrative support, including managing invoices, contracts, and expenses.
  • Performing various administrative tasks to assist staff, including meeting management and maintaining office files.
  • Creating and maintaining tools to monitor project resources and progress. 1
  • Coordinating with Marketing and Communications teams to promote project initiatives. 1
  • Maintaining project documentation and facilitating participant onboarding processes. 1
  • Ensuring excellent time management and communication skills are utilized to meet project deadlines.

Required Qualifications:
Candidates should possess a Bachelor’s degree in business administration or a related field. A minimum of three years of administrative support experience is required. Effective written and verbal communication skills are essential, along with strong organizational and process management abilities. Proficiency in Microsoft Office and database management is necessary, as well as a solid understanding of business English, spelling, grammar, and punctuation. The ideal candidate should demonstrate the ability to work independently with minimal supervision while also being a collaborative team player. A dynamic, detail-oriented approach is crucial, as is the ability to multi-task and adapt in a fast-paced environment. Strong problem-solving skills and a commitment to providing excellent customer service to both internal and external partners are also required. Experience in health-related fields is preferred but not mandatory.

Educational Background:
The position requires a Bachelor’s degree in business administration or a relevant field. This educational background is preferred as it provides the foundational knowledge necessary for effective project management and administrative support within the healthcare sector.

Experience:
The ideal candidate should have at least three years of experience in administrative support roles. This experience should demonstrate the ability to manage multiple tasks, coordinate projects, and work effectively with various stakeholders. Familiarity with healthcare-related projects or initiatives is advantageous, as it aligns with the AHA's mission and operational focus.

Languages:
