Job Posting Organization: The Austria Multi-Country Office (AUMCO) is part of the UNOPS Europe and Central Asia Region (ECR). Established to support the achievement of Agenda 2030 and the Paris Agreement, AUMCO focuses on global programmes and tailored interventions in the Balkans, South Caucasus, and Central Asia. The office aims to provide a broad spectrum of services including infrastructure procurement, project management, HR and transactional services, grants management, and technical and advisory services. Job Overview: The Administrative Clerk - Logistics position is crucial for supporting the logistics management, travel/transport management, operational support, and knowledge management functions within the UNOPS Pristina Office. The role involves assisting the project team in updating logistics plans, ensuring timely delivery of goods, coordinating travel requests, and maintaining operational documentation. The position requires a proactive approach to managing logistics and transport, ensuring that all processes are efficient and effective, and contributing to the overall success of the projects undertaken by UNOPS in the region. The candidate will be expected to work closely with suppliers, contractors, and project teams to ensure that all logistics and transport needs are met in a timely manner, while also participating in training events and contributing to knowledge networks.
Duties and Responsibilities: The duties and responsibilities of the Administrative Clerk - Logistics include:
Logistics Management: Assist in updating logistics plans, liaise with suppliers for timely delivery of goods, coordinate with the procurement team, and ensure safe storage of equipment.
Travel/Transport Management: Process travel requests, provide transportation services, maintain vehicle logs, and report any vehicle-related issues.
Operational Support: Organize payment-related documents, record and follow up on purchase orders, and report on progress status.
Knowledge Management: Participate in training events and contribute to knowledge networks related to logistics and transport.
Required Qualifications: The position requires a High School Diploma with three years of relevant experience. A first-level university degree (Bachelor's or equivalent) in Logistics, Business Administration, Project Management, Social Sciences, or related fields is preferred and may substitute for relevant experience. Certification in logistics or management is an advantage. Possession of a valid driver's license is also required.
Educational Background: Candidates must possess at least a High School Diploma, with a preference for those holding a first-level university degree in relevant fields such as Logistics, Business Administration, or Project Management. Additional qualifications in management or logistics are advantageous and may substitute for relevant experience.
Experience: A minimum of three years of relevant professional experience is required, particularly in logistics, administration, finance, or procurement. Experience in driving and travel management is essential, and familiarity with ERP systems is desired. Good computer skills, particularly in MS Word and Excel, are also necessary.
Languages: Fluency in English and Albanian is mandatory, with the ability to communicate effectively in both oral and written forms. Fluency in Serbian is considered an asset.
Additional Notes: The contract type is an ICA Contract at the Local ICA Support - 3 (ICS-3) level. The contract duration is open-ended, subject to organizational requirements, availability of funds, and satisfactory performance.
