Job Overview:
The Movement Operations Assistant plays a crucial role in the organized movement of individuals requiring international migration assistance. This position involves coordinating travel arrangements for migrants and refugees, ensuring compliance with IOM's operational standards and guidelines. The assistant will work closely with various stakeholders, including government partners and internal teams, to facilitate the safe and efficient travel of individuals under IOM's auspices. The role requires a strong understanding of movement operations, attention to detail, and the ability to manage multiple tasks simultaneously. The assistant will also be responsible for maintaining accurate records and providing support to vulnerable individuals during their travel process, ensuring their needs are met and their rights are protected.

Duties and Responsibilities:
  • Coordinate, schedule, and book travel for individuals based on their travel-ready status and requests, ensuring adherence to travel requirements.
  • Organize and complete all travel bookings promptly, following the Handbook of IOM Tariffs (HIT) and standard operating procedures (SOPs).
  • Compile and analyze descriptive statistics using I-GATOR to capture costs and prepare necessary travel loan paperwork.
  • Create movement data files for all individuals in accordance with SOPs for accountability.
  • Identify and assign escorts for vulnerable individuals in coordination with supervisors.
  • Process exit permission paperwork and ICRC Travel Documents as per established standards.
  • Conduct identity and document verification before distributing travel documentation to migrants.
  • Provide pre-departure counseling on travel procedures and address special needs during travel.
  • Maintain regular communication with the Operations Associate and supervisors regarding work progress and any arising issues. 1
  • Uphold confidentiality and integrity of all paperwork in compliance with data protection rules. 1
  • Alert management of any non-compliance with SOPs or codes of conduct. 1
  • Perform additional duties as assigned by supervisors.

Required Qualifications:
Candidates must possess strong computer skills, particularly in Word, Excel, and Internet applications. Experience with Movement Operations-related databases and systems, such as ATOMS, MiMOSA, SAR, and Amadeus, is mandatory. The ability to work independently and under pressure with minimal supervision is essential, along with being self-motivated and driven to achieve objectives. Candidates should demonstrate a commitment to IOM's values and principles, including integrity, professionalism, and respect for diversity.

Educational Background:
A completed secondary education (high school diploma) is required, along with five years of relevant working experience. Alternatively, candidates with a Bachelor's degree may qualify with three years of relevant working experience. This educational background ensures that candidates have the foundational knowledge and skills necessary for the role.

Experience:
Prior experience in Movement Operations is mandatory for this position. Candidates should have a proven track record of working in similar roles, demonstrating their ability to manage travel logistics and support vulnerable populations effectively. Experience in a multicultural environment and familiarity with international migration issues will be advantageous.

Languages:
Fluency in English and Spanish, both oral and written, is required for this position. Candidates will be evaluated on their proficiency in these languages during the selection process, which may include written and/or oral assessments. Knowledge of additional languages, particularly French, is considered a plus, as IOM's official languages include English, French, and Spanish.
