Job Overview:
The Project Support Specialist will play a crucial role in supporting the project team to ensure effective planning and execution of the project. This includes collecting and summarizing information and data for the formulation of project work plans, drafting annual/quarterly budgets, and proposals related to implementation arrangements. The specialist will provide comprehensive support in all aspects of project implementation according to project documents and annual work plans, ensuring quality delivery from consultants, beneficiaries, and contracted companies. The role also involves ensuring compliance with UNDP's operational policies and procedures, providing guidance to project staff on business processes, and supporting the integration of gender equality in project implementation.
Duties and Responsibilities:
- Support project planning and execution, including the collection and summarization of information for work plans and budgets.
- Provide comprehensive support for project implementation in accordance with project documents and agreements.
- Ensure quality delivery by consultants and contractors, and communicate findings to supervisors.
- Ensure compliance with UNDP's operational policies and procedures.
- Provide guidance to project staff on business processes and administrative requirements.
- Support the integration of gender equality in project implementation, including data collection.
- Prepare reference materials on gender equality for discussions and correspondence.
- Provide administrative and logistical support for project execution, including organizing events and coordinating procurement procedures.
- Establish and maintain contacts with UN agencies, government institutions, NGOs, and other stakeholders. 1
- Support the monitoring and evaluation of project implementation, including data collection and analysis. 1
- Assist in organizing field visits, workshops, and conferences. 1
- Monitor project expenditures and commitments against the budget. 1
- Prepare and consolidate project reports in a timely manner. 1
- Participate in capacity development activities and support knowledge sharing within the organization.
Required Qualifications:
- Minimum academic education: Secondary education (high school diploma) is required; a university degree in Business Administration, Public Administration, or related fields is considered an asset.
- Minimum years of relevant work experience: At least 6 years of progressively responsible administrative or project experience with a high school diploma, or 3 years with a university degree.
- Required skills: Proficiency in computer use, including MS Office (Word, Excel, etc.) and web-based management systems, with advanced knowledge of spreadsheets and database packages.
- Desired skills: Experience in preparing plans, financial reports, and general reviews; knowledge of monitoring and evaluation tools; understanding of project management processes; familiarity with procurement procedures of national/international organizations.
Educational Background:
The minimum educational requirement for this position is a secondary education (high school diploma). A university degree in Business Administration, Public Administration, or related fields is considered an asset but is not mandatory.
Experience:
The position requires a minimum of 6 years of progressively responsible experience in administrative or project roles for candidates with a high school diploma, or at least 3 years for those with a university degree. This experience should include responsibilities that demonstrate the ability to manage project-related tasks effectively.
Languages:
Fluency in Spanish is required for this position. Working knowledge of English is desirable, which would enhance communication and collaboration in a diverse work environment.
