Job Overview:
The Support Services Assistant plays a crucial role in the daily operations of the Danish Refugee Council, specifically within the Supply Chain and Human Resources departments. This position is designed for individuals who have a strong background in logistics and HR, and who are capable of providing administrative support to ensure the smooth functioning of the office. The successful candidate will work under the supervision of the Support Service Team Leader and will be responsible for a variety of tasks that facilitate the implementation of DRC operations. This includes managing supply chain activities, liaising with suppliers and local authorities, and ensuring compliance with HR policies. The role requires a proactive approach to problem-solving and the ability to work collaboratively with team members and external stakeholders.

Duties and Responsibilities:
The Support Services Assistant will have a diverse set of responsibilities that include: managing driver movements and vehicle maintenance, collecting and analyzing data from driver logbooks, maintaining procurement trackers, preparing procurement documents, assisting with the reception of goods and services, maintaining a supplier database, ensuring proper maintenance of office facilities, preparing travel arrangements for staff and visitors, and supporting the organization of training and meetings. In terms of human resources, the assistant will ensure compliance with HR policies, produce monthly HR reports, update leave and recruitment trackers, monitor staff attendance, assist in candidate communication, manage onboarding processes, prepare employee contracts, and maintain personnel files. The role also involves supporting staff development initiatives and promoting the DRC Learning Catalogue.

Required Qualifications:
Candidates must possess a minimum of 1 year of relevant work experience in a similar position, ideally within an international non-governmental organization (INGO). Required qualifications include previous experience in supply chain management or logistics, excellent written and oral communication skills, and a diploma in Business, preferably in Supply Chain or Human Resources. Fluency in English and the local language (Arabic/Hassanya) is mandatory. Additionally, candidates should demonstrate the ability to work effectively in a team and uphold DRC’s core competencies.

Educational Background:
The educational background required for this position includes a diploma in Business, with a preference for specializations in Supply Chain Management or Human Resources. This educational foundation is essential for understanding the complexities of supply chain operations and human resource management within the context of humanitarian work.

Experience:
The position requires a minimum of 1 year of relevant work experience, preferably in a similar role within an INGO. Experience in supply chain management and logistics is essential, and prior experience in a Human Resources capacity is highly desirable. Familiarity with the specific challenges faced in humanitarian settings, such as working in refugee camps, will be considered an advantage.

Languages:
Fluency in English is mandatory, along with proficiency in the local language, which can be Arabic or Hassanya. Knowledge of additional languages such as French or Spanish is considered an advantage, as it may facilitate communication with a broader range of stakeholders and enhance the candidate's effectiveness in the role.

Additional Notes:
The contract for this position is set for a duration of 9 months, and it is classified as a non-management role. The duty station is designated as unaccompanied/non-family, indicating that the successful candidate will be expected to live and work in a location that may not be suitable for family accompaniment.
