Job Overview: The Facilities Management Assistant plays a crucial role in supporting the Facilities and Environmental Management Unit within UNISFA. This position involves a variety of responsibilities related to facility management operations across all UNISFA camps. The incumbent will report to the Chief of Facilities and Environmental Management Unit and will be responsible for planning, coordinating, and monitoring facility management tasks. The role requires effective communication and teamwork skills, as the assistant will work closely with various staff members and contractors to ensure the smooth operation of facilities. The position also involves administrative duties, such as drafting service contracts and maintaining records of administrative instructions and regulations. Duties and Responsibilities: The Facilities Management Assistant will be responsible for a wide range of duties, including:
Planning: Preparing shopping carts for the Facilities and Environmental Management Unit, liaising with the Acquisition Management Unit, and establishing project plans considering manpower, supplies, and time.
Operations: Distributing tasks among staff and contractors, coordinating resources, monitoring ongoing processes, providing logistics support, checking maintenance areas, contacting vendors, conducting inspections, monitoring service contracts, reviewing contractor work, advising on schedules for maintenance, checking invoices, providing logistical support for emergencies, and monitoring electricity usage.
Administration: Assisting the Chief of Section with ongoing projects, reviewing incoming requests, drafting service contracts, coordinating with the Procurement Unit, maintaining administrative files, and documenting findings from environmental audits and inspections.
Required Qualifications: Candidates must possess thorough technical knowledge of facility management operations, adaptability skills for creative problem-solving, and a strong sense of professionalism. The ability to communicate effectively, both verbally and in writing, is essential. The candidate should demonstrate teamwork skills, valuing others' ideas and expertise, and be willing to learn from colleagues. A commitment to gender balance and diversity in staffing is also required.
