Job Overview: The Administrative and Budget Assistant plays a crucial role in supporting the administrative and budgetary functions of the Facilities and Environmental Management Unit. This position involves overseeing and maintaining biometric data systems, analyzing data trends, and providing insights for workflow improvements. The role requires a strong understanding of budget preparation, monitoring, and reporting, as well as the ability to analyze complex data and present it in a clear format for stakeholders. The Assistant will work closely with the Chief of Facilities and Environmental Management to ensure efficient use of resources and compliance with established policies and procedures. This position is expected to last for six months, contributing to the overall effectiveness of the mission's operations.
Duties and Responsibilities: The Administrative and Budget Assistant will be responsible for a variety of tasks, including:
Operations: Overseeing biometric data systems, analyzing trends, collecting and interpreting data from Commindware Work Orders, and creating visualizations to monitor resource consumption.
Planning: Assisting in the preparation of cost estimates and budget proposals, reviewing budget utilization, and preparing budget performance reports.
Administration: Maintaining records of engineering projects, ensuring compliance with regulations, advising staff on rules, drafting correspondence, and processing interoffice memos.
Performing other duties as assigned by the Chief of Facilities and Environmental Management. The Assistant will be expected to demonstrate professionalism, effective communication, and teamwork throughout their responsibilities.
Required Qualifications: Candidates must possess a Bachelor’s Degree in Business Administration, Management, Engineering, or a related field. A minimum of seven years of experience in administrative services, management, human resources, and auditing is required. Additionally, candidates should have experience in budget preparation and WBSE implementation and reporting. Understanding of the UN Department of Operational Support's positive legacy project is essential. Experience in analyzing data from biometric systems and using Field Remote Infrastructure Management portals is also required. Candidates with logistics and supply chain support experience in volatile environments will be preferred, as well as those familiar with Enterprise Resource Planning systems.
Educational Background: A Bachelor’s Degree in a relevant field such as Business Administration, Management, or Engineering is mandatory for this position. This educational background provides the foundational knowledge necessary for effective management and administrative functions within the UN framework.
Experience: Candidates should have at least seven years of relevant experience in administrative services, management, human resources, and auditing. This experience should include a strong focus on budget preparation and reporting, as well as familiarity with data analysis from biometric systems and infrastructure management. Experience in conflict or post-conflict environments is desirable, as it demonstrates the ability to operate effectively under challenging conditions.
Languages: Fluency in English is required for this position, as it is one of the working languages of the United Nations Secretariat. Knowledge of French is also beneficial, as it is the second working language. Proficiency in both languages will enhance communication and collaboration within the UN framework.
