Job Overview: The Project Operations Assistant will play a crucial role in overseeing and maintaining biometric data systems for the Camp Management Services Contractor. This position involves analyzing biometric data trends and system performance to identify gaps and enhance contractor access control policies. The assistant will also collect data from Commindware Work Orders and analyze trends to provide valuable insights for workflow improvements. Additionally, the role includes analyzing Field Report Infrastructure Management data to identify infrastructure-related patterns and improvements. The assistant will be expected to create data visualizations to monitor water and electricity consumption trends, translating complex information into clear formats for non-technical stakeholders. The position requires offering data-driven recommendations to improve work order management, facilitate proactive planning, and ensure optimal resource consumption. The expected duration of this position is six months, and it is essential for the candidate to be adaptable and resourceful in a dynamic work environment.
Duties and Responsibilities: The duties and responsibilities of the Project Operations Assistant include:
Operations: Overseeing and maintaining biometric data systems for the Camp Management Services Contractor, analyzing biometric data trends and system performance, collecting and analyzing data from Commindware Work Orders, and creating data visualizations to monitor resource consumption trends.
Planning: Assisting with the preparation of cost estimates and budget proposals, reviewing budgetary resources for efficient use, preparing budget performance reports, and supporting the office in the preparation of the Unit’s Work Plan and ERM Risk Assessment and Register.
Administration: Keeping records from all engineering projects, supporting compliance with regulations and policies, advising staff on relevant rules, drafting correspondence, processing interoffice memos, and following up with other units within the mission.
Required Qualifications: The required qualifications for the Project Operations Assistant position include a Bachelor’s Degree in Business Administration, Management, Engineering, or a related field. A minimum of seven years of experience in administrative services, management, human resources, and auditing is required. Experience in budget preparation and WBSE implementation and reporting is essential. Candidates should have a strong understanding of the UN Department of Operational Support's positive legacy project and experience in analyzing data from biometric attendance systems. Additionally, experience in providing logistics and supply chainsupport services in volatile or post-conflict environments is desirable, as well as familiarity with Enterprise Resource Planning systems in scheduling, inventory control, procurement, and logistics processes.
Educational Background: Candidates must possess a Bachelor’s Degree in Business Administration, Management, Engineering, or any other related field. This educational background is essential to ensure that the candidate has the necessary theoretical knowledge and practical skills to perform the duties associated with the position effectively.
Experience: The position requires a minimum of seven years of relevant experience in administrative services, management, human resources, and auditing. Candidates should have a proven track record in budget preparation and WBSE implementation and reporting. Experience in analyzing data from biometric systems and utilizing Field Remote Infrastructure Management portals to monitor resource consumption is essential. Additionally, experience in logistics and supply chain support services in challenging environments is highly desirable.
Languages: Fluency in English is required for this position, as English is one of the working languages of the United Nations Secretariat. Knowledge of French is also beneficial, as it is another working language of the UN. Proficiency in both languages will enhance communication and collaboration within the diverse international team.
