The UN RCO in Niger operates under the leadership of the UN Resident Coordinator, who is the highest-ranking official of the UN Development System in the country, and is responsible for supporting the government in achieving its development priorities.

Job Overview:
The Executive Associate plays a crucial role in ensuring the effective and efficient functioning of the Resident Coordinator's office in Niamey, Niger. This position involves managing the RC's schedule, logistical requirements, and protocol procedures while maintaining confidentiality. The Executive Associate will work closely with the Head of Office and the Resident Coordinator, providing administrative support and ensuring smooth communication within the office. The role requires a proactive approach to managing information flow, deadlines, and commitments, as well as organizing official events and high-level meetings. The Executive Associate is expected to contribute to the overall success of the UN's mission in Niger by facilitating the work of the Resident Coordinator and supporting the achievement of the SDGs.

Duties and Responsibilities:
  • Ensure effective and efficient functioning of the RC office by managing the supervisor's calendar, arranging appointments and meetings, and providing protocol coverage.
  • Coordinate high-quality briefing materials for the Resident Coordinator for various engagements.
  • Draft correspondence and ensure compliance with UN norms and standards.
  • Manage travel arrangements for the RC, including logistics and flight bookings.
  • Maintain rosters of high-level partners and assist in organizing official events.
  • Support effective communication within the office by maintaining filing systems and coordinating information flow.
  • Provide human resources management support, including assistance with relocation matters for international staff.
  • Perform general administrative duties, including drafting routine correspondence and coordinating with service units.
  • Assist with contract administration and data analysis for decision-making purposes. 1
  • Perform other related administrative duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. An Advanced Level Certificate or a relevant first-level university degree may be accepted in lieu of two years of required experience. A minimum of seven years of progressively responsible experience in secretarial, administrative, program, budget/financial, human resources management, or related areas is required. Experience in front office management and providing support within the UN system or international organizations is desirable. Candidates with a first-level university degree may have the minimum experience requirement reduced by two years. Familiarity with Enterprise Resources Planning (ERP) systems is also desirable.

Educational Background:
A high school diploma or equivalent is required for this position. An Advanced Level Certificate (Brevet de Technicien Supérieur en Administration) or a License in literature is desirable. A relevant first-level university degree may be accepted in lieu of two years of required experience, indicating that candidates with higher education may have an advantage in the selection process.

Experience:
Candidates must have a minimum of seven years of progressively responsible experience in areas such as secretarial, administrative, program, budget/financial, human resources management, or public relations. This experience should demonstrate a strong capability in managing office functions and supporting senior executives. Candidates with a first-level university degree may have the minimum experience requirement reduced by two years. Experience in front office management, particularly within the UN system or similar international organizations, is highly desirable. Additionally, candidates should have at least one year of work experience in data analytics or related fields.

Languages:
Fluency in oral and written French is required for this position, as it is one of the working languages of the United Nations Secretariat. A working knowledge of English is desirable, and knowledge of another official UN language is considered an advantage. Fluency is defined as a rating of 'fluent' in all four areas (reading, writing, speaking, understanding), while knowledge is rated as 'confident' in two of the four areas.
