Job Overview:
The Facilities Management Assistant plays a crucial role in supporting the facility management operations within all UNISFA camps. Reporting to the Chief of Facilities and Environmental Management, the assistant is responsible for planning, coordinating, and monitoring various facility management tasks. This includes preparing shopping carts for necessary supplies, establishing project plans, distributing tasks among staff and contractors, and providing logistical support to both military and civilian personnel. The assistant must ensure that maintenance requirements are met, service contracts are monitored, and that all operations run smoothly. The role requires a proactive approach to problem-solving and effective communication skills to liaise with various stakeholders. The Facilities Management Assistant is expected to maintain high standards of professionalism and efficiency while adapting to the dynamic environment of the UN operations.

Duties and Responsibilities:
The Facilities Management Assistant will undertake a variety of responsibilities, including but not limited to:
  • Planning: Preparing shopping carts for the Facilities and Environmental Management Unit, liaising with the Acquisition Management Unit, and establishing project plans considering manpower and resources.
  • Operations: Distributing tasks to staff and contractors, coordinating resources, monitoring ongoing processes, providing logistics support, checking maintenance areas, contacting vendors for services, conducting inspections, and reviewing contractor work.
  • Administration: Assisting the Chief of Section with ongoing projects, prioritizing incoming requests, drafting service contracts, coordinating with procurement, maintaining administrative files, and documenting environmental audits and assessments. The assistant must also monitor electricity usage and ensure compliance with service contracts.

Required Qualifications:
Candidates must possess thorough technical knowledge of facility management operations, demonstrate adaptability in problem-solving, and show a commitment to professional excellence. The ideal candidate will exhibit strong communication skills, both written and verbal, and will be able to work collaboratively within a team.
