The position is located in the Administration Unit at the ECLAC Subregional Headquarters for the Caribbean, which is part of the Economic Commission for Latin America and the Caribbean (ECLAC). ECLAC was founded in 1948 and aims to contribute to the economic and social development of the region. It operates across 26 Member Countries and Territories in the Caribbean, providing advisory services, expertise, and training to governments, as well as supporting regional and international cooperation and coordination activities. Job Overview:
The Team Assistant plays a crucial role in providing administrative support within the Administration Unit. This position involves a wide range of office support functions, including responding to correspondence, drafting communications, and producing complex documents and reports. The Team Assistant is responsible for monitoring processes and schedules related to the unit's outputs, ensuring compliance with legal and financial requirements. Additionally, the role includes researching and organizing information for reports and meetings, generating statistical reports, proofreading documents, and assisting with vendor registration and procurement processes. The Team Assistant also provides logistical support for meetings and events, maintains schedules, and performs general administrative tasks such as leave recording and budget follow-up. This position requires a proactive approach to managing office inventory and providing guidance to less experienced staff, as well as assisting with data collection and analysis for decision-making purposes.

Duties and Responsibilities:
The Team Assistant is responsible for a variety of duties, including: performing office support and administrative functions; drafting responses to routine correspondence; producing complex documents and reports; monitoring processes and schedules; verifying documents for compliance; researching and organizing information; generating statistical reports; proofreading and editing documents; assisting with vendor registration; managing office inventory; providing logistical support for meetings; maintaining calendars; performing data entry; updating distribution lists; handling administrative tasks; maintaining files and databases; providing software and office equipment support; guiding less experienced staff; assisting with data analysis and presentations; and performing other assigned duties.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. Formal training or certification in the use of an ERP system is desirable. Additionally, candidates should have knowledge of general office and administrative support, including administrative policies and procedures. Professionalism, teamwork, and planning and organizing skills are essential for this role.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates must clearly indicate their completion of high school in their Applicant Profile. For positions in the General Service category, this educational requirement is strictly enforced.

Experience:
Candidates must have at least three years of experience in general office support, clerical support, or a related area. This requirement is reduced to one year for candidates who possess a first-level university degree or higher. Experience with organizational enterprise management tools such as Umoja or Inspira is required, along with desirable experience in record management and archiving. Experience in data analytics or related areas is also considered beneficial.

Languages:
Fluency in oral and written English is required for this position, as English is one of the working languages of the United Nations Secretariat. Knowledge of French is also required, while knowledge of Spanish is considered desirable.
