Job Overview:
The Financial Management and Grants Coordinator will play a crucial role in integrating equity into the financial management processes of the WRI Ross Center for Sustainable Cities. This position involves providing grants and finance management, as well as program administration support for complex, multi-year international grants. The coordinator will be responsible for developing and updating budgets, tracking expenditures, preparing financial reports, and collaborating with project managers and partner organizations to ensure a healthy financial system. The role requires a strong understanding of financial management principles and the ability to work effectively with diverse teams across various international offices.

Duties and Responsibilities:
  • Financial Management (60%): - Update and maintain multiple project budgets using WRI’s budgeting and forecasting software (TM1). - Develop proposal budgets and coordinate the collection and submission of formal proposals for fundraising efforts. - Support project teams in the annual Cost-Planning process and manage multiple funding sources. - Prepare and coordinate financial reports for donors independently. - Regularly review, update, and monitor all transactions, commitments, and revenue prospects for designated projects. - Track multiple revenue commitments and advise teams on budget management. - Follow WRI’s internal processes related to funding and expenses, including quarterly reviews and fiscal year forecasting. - Maintain project budget trackers using Asana and Google Sheets.
  • Grant Management (30%): - Coordinate and process documentation for project commitments, including agreements and contracts. - Advise partner organizations and consultants on compliance with subgrant and contract requirements. - Maintain up-to-date records in database software (Salesforce) and SharePoint for donor and grants management. - Support project managers in understanding deliverables and reporting requirements.
  • Operations (10%): - Update and maintain new hire staffing information and provide timesheet guidance. - Assist with financial management for conferences and events, including processing invoices. - Support recruitment and onboarding of new financial staff members as needed. - Develop various program and organizational trackers for monthly updates with Program Directors.

Required Qualifications:
  • Education: A completed bachelor’s degree in environmental studies, economics, policy, sustainability, engineering, or a related field. Relevant work experience may be accepted in lieu of a degree.
  • Experience: A minimum of 3 years of full-time relevant work experience in financial management, budgeting, administration, nonprofit operations, or a related field. Proven experience in organizing and managing complex budgeting structures and donor reporting is essential. Familiarity with Microsoft Office, especially Excel, is required, along with experience in database management and proofreading. Candidates should have the ability to handle multiple projects with varying deadlines and changing priorities, and an interest in the mission of the WRI Ross Center for Sustainable Cities is preferred.

Educational Background:
Candidates must possess a bachelor’s degree in a relevant field such as environmental studies, economics, policy, sustainability, or engineering. Relevant work experience may substitute for formal education, demonstrating the candidate's capability in financial management and related areas.

Experience:
The position requires a minimum of 3 years of full-time relevant work experience in financial management, budgeting, administration, or nonprofit operations. Candidates should have a proven track record of managing complex budgeting structures and donor reporting, as well as experience working with international teams or projects.

Languages:
Verbal and written proficiency in English is mandatory for this position. Additional language skills may be beneficial but are not specified as requirements.

Additional Notes:
This is a hybrid position requiring 8 days per month in the office, based in The Hague. Existing work authorization is required at the time of application, as WRI cannot sponsor visa work authorization. The salary range for this position is between 49,500 and 61,900 Euro, commensurate with experience.
