The position is located within the Housing and Land Management Unit of the Forests, Land and Housing Division at the United Nations Economic Commission for Europe (UNECE). Job Overview:
The Team Assistant will play a crucial role in providing comprehensive office support and administrative functions within the Housing and Land Management Unit. This position requires a proactive individual who can manage a variety of tasks efficiently, including organizing travel arrangements for staff and consultants, managing contracts, and ensuring compliance with legal and financial requirements. The incumbent will also be responsible for drafting and responding to correspondence, producing complex documents and reports, and maintaining project schedules. The role demands strong organizational skills and the ability to work collaboratively in a team environment, contributing to meetings and conferences, and assisting in the preparation of presentation materials. The Team Assistant will also be involved in data entry and management, ensuring that all documentation is accurate and up-to-date. This position is temporarily available for an initial period of 364 days, providing an opportunity to gain valuable experience within the United Nations framework.

Duties and Responsibilities:
The Team Assistant will be responsible for a wide range of duties, including but not limited to: organizing travel for staff and non-staff, arranging consultancy recruitments, managing contracts and grants, drafting responses to correspondence, producing complex documents and reports, monitoring project outputs and schedules, assisting in the verification of documents, compiling information for reports and meetings, proofreading and translating documents, providing logistical support for meetings, maintaining websites, preparing presentation materials, performing data entry, managing mail and documents, updating distribution lists, handling administrative tasks such as leave recording and budget follow-up, maintaining files and databases, and providing software and office equipment support. The role requires flexibility and the ability to perform other duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A first-level university degree or higher is preferred, which may reduce the required years of experience. Relevant experience in general office and administrative support is essential, with at least three years required. Candidates with a first-level university degree may qualify with only one year of relevant experience. Experience in data analytics or related areas is desirable, as is familiarity with an Enterprise Resource Planning System such as Oracle, SAP, or Umoja. Experience within the United Nations Common System is also considered an asset.

Educational Background:
The minimum educational requirement for this position is a high school diploma or equivalent. However, candidates with a first-level university degree or higher are encouraged to apply, as this may reduce the experience requirement and enhance their candidacy.

Experience:
The position requires at least three years of relevant experience in general office and administrative support or a related area. For candidates with a first-level university degree or higher, the minimum experience requirement is reduced to one year. Additional experience in data analytics or related fields is desirable, as well as familiarity with Enterprise Resource Planning Systems such as Oracle, SAP, or Umoja. Experience within the United Nations Common System is also advantageous.

Languages:
Fluency in English is required for this position, as it is one of the working languages of the United Nations Secretariat. Knowledge of French is also required. Additionally, knowledge of Ukrainian is considered desirable, which may enhance communication and collaboration within the context of the UN4UkrainianCities project.

Additional Notes:
This position is temporarily available for an initial period of 364 days, and it is subject to the availability of project funds. The appointment may be renewed based on budgetary approval and the extension of the mandate. Candidates who are current staff members of the United Nations Secretariat may be considered for a temporary assignment. The position is subject to local recruitment, and applicants must be authorized to work in Switzerland. Staff members subject to local recruitment are not eligible for allowances or benefits exclusive to international recruitment.
