Job Overview:
The Staff Assistant will provide comprehensive office management and administrative support functions under minimal supervision. This role typically involves direct assistance to a senior officer or manager responsible for a major program, such as a branch or division. The incumbent will maintain communication with the Executive Office and senior officials in other units regarding ongoing programs and administrative matters. The position requires ensuring smooth information flow within the unit, preparing and processing confidential information, and assisting in developing office administrative systems and procedures. The Staff Assistant will also be responsible for researching and compiling background materials for reports, briefs, and speeches, as well as coordinating service-wide activities, special projects, and events. The role includes orienting new staff to administrative procedures, attending meetings, preparing minutes, and managing correspondence. The Staff Assistant will also maintain internal databases, update websites, and generate reports, while performing quality control functions for outgoing documents and assisting with data analysis and presentations.

Duties and Responsibilities:
The Staff Assistant will perform a variety of duties including: managing office functions and administrative support; maintaining liaison with the Executive Office and senior officials; ensuring efficient information flow; preparing confidential materials; coordinating meetings and events; orienting new staff; attending meetings and preparing minutes; managing correspondence; updating databases and websites; performing quality control on documents; responding to complex information requests; assisting in preparing presentation materials; maintaining calendars; performing administrative duties such as leave recording and meeting organization; maintaining files and databases; assisting with data collection and analysis; and performing other duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of five years of general office support or related experience is required, which can be reduced to three years for candidates with a first-level university degree or higher. Experience in data analytics or a related area is desirable. Candidates should demonstrate professionalism, teamwork, planning, and organizing skills.

Educational Background:
A high school diploma or equivalent is required for this position. A first-level university degree or higher can reduce the required work experience.

Experience:
Candidates must have a minimum of five years of general office support or related experience. This requirement is reduced to three years for those with a first-level university degree or higher. Additionally, one year or more of experience in data analytics or a related area is considered desirable.

Languages:
Fluency in oral and written English is required for this position. Knowledge of another official United Nations language is an advantage, as English and French are the working languages of the United Nations Secretariat.
