Job Overview:
The Senior Staff Assistant will play a crucial role in the administration of the Office of Information and Communications Technology. The incumbent will provide substantive and administrative support to the Director of the Operations Support Division, ensuring that priorities and workflows are managed effectively. This position requires a proactive approach to communication, time management, and organizational skills, as the Senior Staff Assistant will serve as a key liaison between the Director and other senior officials. The role involves handling complex information requests, preparing materials for reports and presentations, and ensuring smooth administrative operations within the department. The Senior Staff Assistant will also be responsible for organizing meetings and official receptions, managing correspondence, and maintaining filing systems, all while adhering to the principles of professionalism and confidentiality.

Duties and Responsibilities:
The Senior Staff Assistant will be responsible for a wide range of duties, including: assisting in the overall administration of the department, providing substantive and administrative support, coordinating and monitoring diverse activities, serving as a communications link between the supervisor and senior staff, managing time and scheduling for the manager, undertaking representational duties, screening and prioritizing incoming correspondence, compiling background documents, independently handling complex information requests, supporting the manager in presentations, establishing and improving administrative procedures, organizing official receptions and meetings, preparing and processing confidential information, managing various administrative duties, exercising quality control for outgoing documents, producing complex documents and reports, managing internal databases, and performing other duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of seven years of progressively responsible experience in general office support, administration, or a related area is required. This experience is reduced to five years for candidates with a first-level university degree or higher. Candidates must have experience drafting and proofreading a wide variety of correspondence and providing assistance to senior officials. Experience working in an international organization and using Enterprise Resource Planning software and business analytics tools is desirable.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates with a first-level university degree or higher will have their minimum experience requirement reduced, indicating that higher education is valued and can compensate for less work experience.

Experience:
The position requires a minimum of seven years of progressively responsible experience in general office support, administration, or a related area. Candidates with a first-level university degree or higher may qualify with five years of relevant experience. Experience in drafting and proofreading correspondence, assisting senior officials, and working in an international organization is essential. Familiarity with Enterprise Resource Planning software and business analytics tools is also desirable, indicating a preference for candidates who are technologically adept and have experience in complex organizational environments.

Languages:
Fluency in oral and written English is required for this position, as English is one of the working languages of the United Nations Secretariat. Knowledge of another official United Nations language, such as French, is desirable, which would enhance communication capabilities within the diverse international environment of the UN.
