Job Overview:
The Administration Senior Associate plays a crucial role in managing a team that provides specialized, technical, and general administrative support services within the organization. The incumbent will oversee various functions, including premises management, logistics, asset management, and team management, while also ensuring that all administrative processes are executed effectively. Duties and Responsibilities:
  • Management: The incumbent will manage the work area, ensuring efficient delivery of client services and compliance with UNOPS policies. This includes monitoring team performance, managing resources, and ensuring optimal workflows. The Administration Senior Associate will also oversee the maintenance of administrative control records and execute transactional roles in the ERP system.
  • Premises, Logistics, and Asset Management Services: The role involves ensuring effective logistics and asset management support, including customs clearance, travel management, and inventory management. The incumbent will lead asset management activities and compile reports on various administrative aspects.
  • Team Management: The Administration Senior Associate will facilitate high-quality results through effective work planning, performance management, and coaching of team members.
  • Information and Knowledge Management: The incumbent will oversee documentation systems, participate in drafting Standard Operating Procedures, and contribute to knowledge networks. The overall impact of this role is significant, as it directly affects the efficiency of administrative services and client satisfaction.

Required Qualifications:
The position requires a minimum of seven years of relevant experience in administrative, logistics, or operations support services, preferably in national or international organizations. Proficiency in computer applications and web-based management systems is essential, along with experience in using Enterprise systems like OneUNOPS. A technical/professional license or diploma in relevant fields is an asset, and administrative certification is also beneficial. Full working knowledge of English is mandatory, while knowledge of another official UNOPS language is considered an asset.

Educational Background:
Completion of secondary education is required for this position. A technical/professional license or diploma, or a first university degree in Business Administration, Public Administration, or related fields would be advantageous. In the absence of a degree, administrative certification is an asset that can substitute for some of the required experience.

Experience:
Candidates must have a minimum of seven years of relevant experience in general administrative, logistics, or operations support services. Experience in the UN system is desirable, and proficiency in computer applications, particularly Google Suites, is required. Familiarity with web-based management systems and Enterprise systems is also necessary for this role.

Languages:
Fluency in English is required for this position. Knowledge of another official UNOPS language is considered an asset, enhancing the candidate's qualifications and ability to communicate effectively in a diverse work environment.

This position is classified as a Local ICA Support contract at the LICA-7 level, with an ongoing duration that is open-ended, subject to organizational requirements, availability of funds, and satisfactory performance.
