Job Overview:
The Administrative Assistant position involves providing comprehensive office and secretarial support under the supervision of the NPO-HR. The role requires managing incoming correspondence, drafting replies, maintaining filing systems, and ensuring timely responses to administrative matters. The incumbent will also support the organization of meetings, workshops, and seminars, assist in HR transactions, and coordinate onboarding formalities for new staff. The position demands a proactive approach to managing office tasks and ensuring compliance with WHO standards and procedures. The Administrative Assistant will play a crucial role in facilitating communication and coordination among staff and stakeholders, contributing to the overall efficiency of the office operations.
Duties and Responsibilities:
- Provide office support by screening and distributing incoming correspondence, drafting replies, and maintaining filing systems.
- Organize meetings, workshops, and seminars, including preparing travel requests and reservation of meeting rooms.
- Assist in administrative HR transactions, including recruitment, onboarding, and contract management.
- Coordinate with staff for timely completion of medical reports and monitor medical records.
- Prepare bona-fide certificates, ID cards, and other documentation for staff and SSA holders.
- Ensure compliance with WHO policies and procedures in all administrative tasks.
- Backup other staff in the unit and perform additional tasks as assigned by supervisors.
Required Qualifications:
Essential qualifications include completion of secondary school education and at least three years of experience in secretarial, clerical, or administrative work. Desirable qualifications include training in secretarial practices and experience in WHO or another UN/International organization. The candidate should possess thorough knowledge of modern office procedures and practices, the ability to draft standard correspondence, and the capability to handle work with tact and discretion.
Educational Background:
The position requires completion of secondary school education as essential. A university degree is considered an asset, and training in secretarial practices is desirable.
Experience:
Candidates must have at least three years of experience in secretarial, clerical, or administrative work. Experience in WHO or another UN/International organization is advantageous but not mandatory.
Languages:
Expert knowledge of English and Hindi is essential for this position. Additional language skills may be considered desirable but are not mandatory.
Additional Notes:
The position offers an attractive remuneration package, including an annual net base salary starting at INR 835,587, subject to mandatory deductions. Staff members are entitled to 30 days of annual leave. The vacancy notice may be used to fill other similar positions at the same grade level.
