Job Overview:
The internship-position" style="border-bottom: 1px dotted #007bff !important;">internship position is located at the European Space Research and Technology Centre (ESTEC) in Noordwijk, Netherlands, within the Directorate of Internal Services. The intern will be part of the Application Services Division (HIF-IA), which is responsible for providing comprehensive IT services that support the development, operation, and maintenance of corporate application solutions across the agency. The intern will engage in various information management initiatives, focusing on the implementation of records management functionality in SharePoint Online, designing approval workflows, and assisting with digital preservation projects. This role will provide the intern with the opportunity to acquire technical competencies in specific applications while gaining a broader understanding of how IT tools can support organizational objectives related to records management, knowledge management, and security" style="border-bottom: 1px dotted #007bff !important;">security" style="border-bottom: 1px dotted #007bff !important;">information security.

Duties and Responsibilities:
The intern will be tasked with several key responsibilities, including:
  • Contributing to the implementation of records management functionality in SharePoint Online, which involves testing retention label configurations.
  • Assisting in the design and testing of approval workflows to facilitate the publication of documents into SharePoint Online.
  • Formatting taxonomies for import as term-sets to enhance information organization.
  • Supporting a pilot project aimed at preparing digital records for long-term digital preservation, utilizing AI tools to extract and verify necessary metadata.
  • Providing assistance with document migration projects to ensure smooth transitions and data integrity.
  • Interacting with multiple stakeholders to interpret user requirements and communicate effectively in a multicultural environment.

Required Qualifications:
Candidates must meet several qualifications to be considered for this internship. These include:
  • A university student, preferably in the final or second-to-last year of a Master’s level course, with the requirement to remain enrolled at their university for the entire duration of the internship.
  • A good knowledge of English or French, as these are the working languages of the agency.
  • Knowledge and background in Information/Records Management.
  • Ability to work collaboratively in a multicultural team environment.
  • Excellent communication skills, strong problem-solving abilities, and adaptability to changing situations.
  • Preferable knowledge of standards concerning long-term digital preservation, as well as experience with SharePoint Online and Generative AI tools.

Educational Background:
The educational background required for this position includes being a university student, ideally in the final or second-to-last year of a Master’s program. The candidate must be enrolled at their university for the entire duration of the internship, ensuring that they can balance their academic commitments with the internship responsibilities.

Experience:
While specific prior experience is not mandatory, candidates are expected to have a foundational understanding of Information/Records Management and some familiarity with IT tools and applications relevant to the role. Experience in a multicultural team environment is advantageous, as the intern will be working closely with diverse stakeholders.

Languages:
The mandatory language requirement for this position is a good knowledge of either English or French, which are the working languages of the European Space Agency.
