Job Overview:
The Sr. Project Coordinator position is a vital role within the Mission Advancement department of the American Heart Association. This office-based position is located at the National Center in Dallas, TX, and involves managing day-to-day administrative tasks, including calendar and travel management. The coordinator will also oversee ongoing and special project assignments, which include managing funding opportunities, supporting internal communications, and providing project updates through the Asana project management platform. Additionally, the role involves maintaining data quality and reporting through the Salesforce CRM database. The successful candidate will act as a Staff Ambassador, assisting new and departing staff members and managing special projects aimed at enhancing staff engagement. This position requires a self-motivated individual with a strong sense of urgency and a commitment to continuous skill development, as well as a deep understanding of the AHA's mission and goals.

Duties and Responsibilities:
The duties and responsibilities of the Sr. Project Coordinator include:
  • Managing day-to-day administrative tasks such as calendar management, travel arrangements, and expense reporting.
  • Overseeing ongoing and special project assignments, including funding opportunities management and internal communications support.
  • Providing project updates and reporting through the Asana project management platform.
  • Ensuring data quality and routine updates in the Salesforce CRM database.
  • Acting as a resource for new and departing staff members, facilitating their onboarding and offboarding processes.
  • Supervising Mission Advancement work sites and storage areas at the National Center, ensuring that office space and equipment meet team needs.
  • Maintaining organization and cleanliness of storage areas.
  • Collaborating with all levels of staff, volunteers, and donors to foster a supportive work environment.
  • Managing special projects related to staff engagement and organizational initiatives.

Required Qualifications:
The required qualifications for the Sr. Project Coordinator position include:
  • A High School Diploma or equivalent.
  • Two to five years of relevant experience in administrative support roles.
  • Proven experience in calendar management, travel arrangements, and expense reporting.
  • High level of technology skills, with the ability to quickly learn new software and platforms.
  • Exceptional organizational skills and attention to detail.
  • Experience managing special projects from inception to completion.
  • Excellent writing and grammar skills in English.
  • Ability to collaborate effectively with staff at all levels, as well as with volunteers and donors, demonstrating a friendly and helpful demeanor.
  • Familiarity with donor relationship management software such as Salesforce CRM, MS-Dynamics, or Raiser’s Edge.

Educational Background:
The educational background required for this position includes a High School Diploma or equivalent. While a higher degree may be preferred, it is not explicitly required. The emphasis is placed on relevant experience and skills rather than formal education beyond the high school level.

Experience:
