Job Overview:
The Administrative Assistant will play a crucial role in supporting the Technical Officer - Ageing and the Director-HPN by providing comprehensive office and secretarial support. This position requires a proactive individual who can manage correspondence, prepare documents, and assist in the organization of meetings and travel arrangements. The incumbent will be responsible for maintaining efficient office operations, ensuring that all administrative tasks are completed accurately and on time. The role also involves liaising with various stakeholders and ensuring that all communications are handled with professionalism and discretion. The Administrative Assistant will be expected to contribute to the overall effectiveness of the team by maintaining a high standard of organization and communication.

Duties and Responsibilities:
  • Office Support: Screen and distribute incoming correspondence, draft replies to general inquiries, type technical reports, and maintain filing systems for easy access to records.
  • Programme Support: Prepare contracts for consultants, monitor payments, and initiate requisitions for goods procurement.
  • Meetings/Duty Travel: Organize meetings, workshops, and seminars, including preparing travel requests and making reservations.
  • Other Duties: Answer queries from visitors and telephone calls, provide background information, and replace the Executive Assistant during absences.
  • Maintain confidentiality and handle sensitive information with tact and discretion.
  • Ensure compliance with WHO standards in all documentation and correspondence.

Required Qualifications:
Essential: Completion of secondary school education. Desirable: Training in secretarial practices and a university degree. Candidates should possess thorough knowledge of modern office procedures and practices, with the ability to draft standard correspondence and handle work in a timely and accurate manner. Strong organizational skills and attention to detail are essential, along with the ability to maintain and update knowledge in the use of office technology.

Educational Background:
Candidates must have completed secondary school education. Additional training in secretarial practices is desirable, and a university degree is considered an asset. Educational qualifications must be obtained from institutions accredited or recognized in the World Higher Education Database (WHED).

Experience:
Candidates should have at least three years of experience in secretarial, clerical, or administrative work. Experience in WHO or another UN/International organization is considered an advantage. The role requires familiarity with office procedures and the ability to manage multiple tasks efficiently.

Languages:
Essential: Expert knowledge of English is required. Proficiency in additional languages may be considered an asset, enhancing communication with diverse stakeholders.

Additional Notes:
The position offers an attractive remuneration package, including an annual net base salary starting at INR 835,587, subject to mandatory deductions. The role includes 30 days of annual leave. This vacancy may be used to fill other similar positions at the same grade level.
