Job Overview:
The Senior Assistant for the Freshwater team plays a crucial role in providing administrative support and coordination at both the initiative and full team levels. This position is designed for individuals who can handle a variety of standard and frequently complex administrative duties, accounting tasks, and special projects. The role requires exceptional attention to detail, strong organizational skills, and the ability to digest information effectively. The Senior Assistant will work closely with the Deputy of Freshwater, ensuring that the team's operations run smoothly and efficiently. This includes managing schedules, coordinating meetings, and supporting the preparation of reports and presentations. The position is integral to advancing the team's work and ensuring that all administrative functions are executed with precision and professionalism.

Duties and Responsibilities:
The duties and responsibilities of the Senior Assistant include, but are not limited to:
  • Scheduling Coordination & Communication: Arranging meetings and appointments for supervisors and staff, managing Outlook inboxes and calendars, answering complex inquiries, and composing correspondence and complex documents for various stakeholders.
  • Financial & Agreement Support: Reviewing and processing payments for credit card transactions and invoices, monitoring expense reports against budgets, executing contract processes, and assisting in budget preparation.
  • Information Collection & Organization: Collecting information and meeting notes, managing data using Microsoft Word, Excel, and specialized databases, and tracking progress on projects.
  • General Office and Administrative Support: Making travel arrangements, handling new employee setups, ordering office supplies, and performing miscellaneous office tasks.
  • Team Events & Communications Collaboration: Planning and coordinating team events, meetings, and special projects, including logistics for virtual and in-person gatherings.
  • Performing other duties as assigned to support the Freshwater team and its initiatives.

Required Qualifications:
The position requires a high school diploma and a minimum of five years of progressively responsible experience in an administrative assistant role. Additional education may be considered in lieu of some required experience. Candidates must demonstrate proficiency in Microsoft Word, PowerPoint, and Excel, as well as specialized databases for creating documents and reports. Strong organizational and analytical skills are essential, along with effective writing abilities for correspondence. Interpersonal skills are crucial for professional communication with staff and external stakeholders. The ability to take initiative, prioritize tasks, and complete work with minimal supervision is also required.

Educational Background:
A high school diploma is the minimum educational requirement for this position. Candidates with additional education, such as an associate's or bachelor's degree, may be considered favorably, especially if it relates to administrative support or environmental studies.

Experience:
