Job Overview:
The position of Asistente Administrativo(a) del Laboratorio de Biotecnología at CIMMYT is designed for a dynamic, responsible, and results-oriented individual. The primary objective of this role is to support the daily operations of the laboratory through effective management of administrative tasks, organization of documentation, and assistance to technical staff in basic laboratory activities. The selected candidate will be responsible for document control related to quality management systems such as ETS (Excellence Through Stewardship) and PBI (Plant Breeding Innovation Management). Additionally, the role involves following up on seed transfer processes and collaborating in the reception and registration of samples, procurement of supplies, and ensuring compliance with laboratory safety standards. This position is based in El Batán, Texcoco, approximately 45 minutes from Mexico City, and requires a proactive approach to managing various administrative functions within the laboratory environment.

Duties and Responsibilities:
The duties and responsibilities of the Asistente Administrativo(a) include managing schedules, calendars, and organizing meetings for laboratory staff. The individual will monitor the laboratory's inventory in coordination with the Research Technician and request purchase orders from the administrative liaison as needed. Responsibilities also include executing and tracking seed transfer processes, both sending and receiving seeds with collaborators. The candidate will receive, register, and classify samples entering the laboratory, restock general laboratory supplies, maintain cleanliness in work areas, and ensure compliance with basic safety standards. Supervising sterilization processes in autoclaves required by the laboratory is also part of the role. The individual will maintain digital and physical filing systems for compliance records and documents, keep the master document control register for ETS and PBI updated, format, upload, and distribute approved documents, archive obsolete records to ensure information integrity, and follow up on document review dates to prevent expiration. Organizing files, evidence, and materials for audits, as well as following up on pending actions related to ETS and PBI, are also key responsibilities. The candidate may be assigned other related activities by their immediate supervisor.

Required Qualifications:
Candidates must possess a degree in Administration or a related field. Intermediate English proficiency is required, along with experience in administrative functions, document control, or laboratory support. Proficiency in Office software, particularly Excel, Word, and Outlook, is essential. The ideal candidate should demonstrate strong organizational skills and the ability to follow up on tasks with various departments and individuals. Attention to detail and order in managing documents and records is crucial. Desirable qualifications include knowledge of quality management systems or experience in audit preparation. A responsible, collaborative attitude and a commitment to compliance with procedures are also expected.

Educational Background:
A bachelor's degree in Administration or a related field is required for this position. This educational background provides the necessary foundation for understanding administrative processes and laboratory operations, which are critical for the role.

Experience:
The position requires prior experience in administrative functions, document control, or laboratory support. Candidates should have a proven track record of managing administrative tasks effectively and efficiently, demonstrating their ability to contribute positively to the laboratory's operations.
