Job Overview:
The Coordination and Support Officer will work under the direct supervision of the Special Adviser to the Director General (DG) of IOM. This role is crucial for supporting the preparation and coordination of matters related to the DG’s travel, policy, and management functions. The officer will closely collaborate with the DG’s Special Advisor to ensure effective follow-up on all delegated matters, coordinate workflows for the DG's external engagements, and assist in the review of materials supporting these engagements. The position requires a proactive approach to organizational, operational, and substantive analysis to support the DG’s decision-making process. The officer will also be responsible for liaising with various offices within IOM to communicate and advance the DG's priorities and engagements, ensuring alignment and coherence across the organization. This role is integral to the Executive Office, which serves as the central hub for leadership and strategic direction within IOM, enabling collaboration and information-sharing among senior leaders.

Duties and Responsibilities:
The duties and responsibilities of the Coordination and Support Officer include:
  • Supporting the DG’s Special Advisor in preparing and coordinating matters related to the DG’s travel and engagements.
  • Facilitating timely tasking, preparation, and clearance of materials for the DG’s external engagements.
  • Reviewing and providing organizational and operational analysis for materials such as public remarks, talking points, travel materials, presentations, and media briefs.
  • Coordinating with HQ, Regional Offices, and Country Offices to communicate and support the delivery of DG requests and priorities.
  • Implementing and ensuring consistent application of Executive Office policies and processes.
  • Accompanying the DG on engagements as requested, taking notes, and following up on action points.
  • Supporting the planning and implementation of special projects or events in support of the DG’s priorities.
  • Contributing to the development of guidance and training for IOM staff on Executive Office processes and expectations.
  • Performing other duties as assigned by the DG’s Special Advisor.

Required Qualifications:
Candidates must possess a Master's degree in Political Science, Social Science, Law, International Relations, Public Relations, Journalism, or a related field from an accredited academic institution, along with five years of relevant professional experience. Alternatively, a University Degree in the aforementioned fields with seven years of relevant professional experience is acceptable. Candidates should have sound knowledge of migration issues, with familiarity with IOM institutions considered an advantage. Proven ability to collaborate effectively with staff and stakeholders at various levels is essential, as well as excellent communication and writing skills. The ability to analyze complex problems and convey clear solutions rapidly is crucial, along with strong organizational skills in both digital and physical environments.

Educational Background:
The educational background required for this position includes a Master's degree in Political Science, Social Science, Law, International Relations, Public Relations, Journalism, or a related field from an accredited institution. Accredited Universities are those listed in the UNESCO World Higher Education Database. Alternatively, a University Degree in the same fields with seven years of relevant professional experience is also acceptable.

Experience:
The position requires candidates to have a minimum of five years of relevant professional experience if they hold a Master's degree, or seven years if they possess a University Degree. This experience should ideally be in roles that involve coordination, policy analysis, and support functions within international organizations or similar environments.

Languages:
Fluency in English is required for this position, both oral and written. IOM’s official languages include English, French, and Spanish, and all staff members must be fluent in one of these languages. A working knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is considered an advantage. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.

The position is classified as an internationally recruited professional staff role, which requires mobility.
