Job Overview:
The NATO Office Head Travel position is primarily responsible for overseeing all aspects of commercial travel and mobility for the JFC HQ and its supported elements. This includes planning, coordinating, and supervising the execution of duty travel related to various activities such as peacetime operations, exercises, and deployments. The role requires effective management of the travel office, ensuring that travel arrangements are made in accordance with established agreements with contracted travel agencies. The incumbent will be tasked with evaluating travel requests, establishing cost-effective travel modes, and maintaining accurate financial records related to travel expenses. The position demands a proactive approach to risk management and internal control within the Finance Directorate, contributing to the overall efficiency and effectiveness of travel operations.

Duties and Responsibilities:
The duties and responsibilities of the NATO Office Head Travel include:
  • Planning, coordinating, and supervising all duty travel for JFC HQ and supported elements.
  • Managing day-to-day operations of the travel office and directing staff accordingly.
  • Liaising with contracted travel agencies to ensure optimal service delivery.
  • Establishing travel routing and itineraries for military and civilian personnel.
  • Evaluating requests for Special Assignment Airlift missions and coordinating travel requirements with military and commercial entities.
  • Processing travel order applications and certifying travel invoices for payment.
  • Establishing reimbursable rates and providing information for reimbursement claims.
  • Maintaining accurate financial records and ensuring financial controls are in place.
  • Monitoring the performance of travel contractors and proposing improvements as necessary. 1
  • Participating in defining and managing risks within the Finance Directorate.

Required Qualifications:
The position requires the following qualifications:
  • Higher Secondary education with completed vocational training leading to a formal technical or professional certification and 3 years of function-related experience, or Secondary education with advanced vocational training and 5 years of post-related experience.
  • A minimum of 4 years of experience in commercial travel or transportation management.
  • Proven experience in supervising and managing staff.
  • Knowledge of office management, billing practices, and record-keeping.
  • Experience in liaising with commercial carriers and transport systems.

Educational Background:
Candidates must possess a Higher Secondary education and completed higher vocational training leading to a formal technical or professional certification. Alternatively, candidates with Secondary education and advanced vocational training leading to a professional qualification or accreditation will also be considered, provided they have the requisite years of experience in related fields.

Experience:
The position requires a minimum of 4 years of experience in the field of commercial travel or transportation management. Additionally, candidates should have experience in supervising staff and managing office operations, as well as familiarity with billing practices and record-keeping associated with travel management.

Languages:
The mandatory language requirement for this position is English, with a proficiency level of SLP 3322, which includes listening, speaking, reading, and writing. While English is essential, knowledge of additional languages may be considered an asset, particularly in a NATO or international context.

Additional Notes:
The successful applicant will be required to apply for and receive a NATO Secret security" style="border-bottom: 1px dotted #007bff !important;">security-clearance" style="border-bottom: 1px dotted #007bff !important;">Security Clearance prior to final confirmation of contract and commencement of employment. The incumbent may also be required to undertake deployments in support of military operations and exercises, which could exceed 30 days in duration. Newly recruited staff will be offered a three-year definite duration contract.
