Job Overview:
The Inventory and Logistics Assistant is responsible for coordinating inventory and asset management activities, ensuring accurate records and proper control of assets. This position involves managing the receipt of inbound assets, inspecting goods, and maintaining accurate records in the Quantum ERP system. The incumbent will also serve as a focal point for inventory management systems, ensuring timely updates and compliance with ICAO's policies. The role includes supporting logistics and mailroom operations, maintaining documentation, and providing assistance to ICAO Commissariat retail operations during peak periods. The assistant will work under the supervision of the Head of Property Control, Logistics, and Commissariat, and is expected to consult on complex technical matters, ensuring the smooth operation of inventory and logistics functions.

Duties and Responsibilities:
  • Coordinates inventory and asset management activities, ensuring accurate records and timely resolution of discrepancies. This includes managing the receipt of inbound assets, inspecting goods, and maintaining accurate records in the Quantum ERP system.
  • Serves as the focal point for inventory management systems, ensuring timely updates and compliance with ICAO's policies. This involves maintaining electronic records of asset movements and overseeing the inventory control system for ICAO Headquarters and Regional Offices.
  • Supports logistics and mailroom operations by processing incoming access requests, tracking deliveries, and maintaining accurate logs of incoming mail and shipments.
  • Maintains the accuracy and completeness of inventory-related documentation, coordinating the preparation and record-keeping of inventory documents and forms.
  • Provides support to ICAO Commissariat retail operations during staff absences or periods of heavy workload, ensuring efficient processing of orders and maintaining customer service standards.
  • Performs other related duties as assigned, contributing to the overall efficiency of the Property Control & Logistics and Commissariat Unit.

Required Qualifications:
Essential qualifications include a high school diploma and a minimum of five years of experience in inventory management, mailroom services, retail management, or a related field. The candidate should have experience in receiving deliveries of assets, parcels, and mail. Desirable qualifications include additional training or certification in inventory or supply-chain management, business administration, or a related field, as well as experience in shipping and receiving areas, warehouse management, and retail cashier/customer service roles.

Educational Background:
The position requires a high school diploma as a minimum educational qualification. Additional training or certification in inventory management, supply-chain management, business administration, or a related field is considered desirable and may enhance the candidate's suitability for the role.

Experience:
Candidates must have a minimum of five years of professional experience in inventory management, mailroom services, retail management, warehousing, or a related field. Experience in receiving deliveries of assets, parcels, and mail is essential, while experience in shipping and receiving areas, warehouse management, and retail cashier/customer service roles is desirable.

Languages:
Fluent reading, writing, and speaking abilities in both English and French are essential for this position. A working knowledge of any other language of the Organization, such as Arabic, Chinese, Russian, or Spanish, is considered desirable and may be beneficial in a multicultural work environment.

Additional Notes:
This position is locally recruited and restricted to Canadian citizens, permanent residents of Canada, and applicants with a valid work permit. The role is offered on a fixed-term basis for an initial period of three years, with the first year being probationary for external candidates. ICAO staff members are expected to conduct themselves in a manner befitting their status as international civil servants, adhering to the 2013 Standards of Conduct for the International Civil Service.
