Job Overview: The Receptionist plays a crucial role in the smooth operation of the Resident Office (RO) by providing essential secretarial, clerical, and administrative support to the staff. This position serves as the first point of contact for visitors and callers, ensuring that inquiries are handled professionally and efficiently. The Receptionist is responsible for managing incoming calls, greeting visitors, and maintaining the office environment, including supplies and equipment. Additionally, the role involves supporting the Resident Office staff with various clerical tasks, contributing to the overall effectiveness of the office operations. The Receptionist must demonstrate excellent communication skills, a professional demeanor, and the ability to multitask in a dynamic work environment.
Duties and Responsibilities: The Receptionist's primary responsibilities include:
Reception (75%): - Screening incoming telephone calls, determining their purpose, and forwarding them to the appropriate personnel or department. - Answering questions about the organization and providing callers with necessary information such as addresses and directions. - Dealing with general inquiries in a courteous manner, whether in person, over the phone, or via email. - Greeting and receiving visitors, determining the nature of their business, and directing them to the appropriate personnel. - Keeping a log of visitors and preparing meeting rooms with necessary equipment and refreshments as required. - Assisting with the preparation of statistics regarding visitors from headquarters. - Supporting visiting missions as needed.
Clerical/Administrative (25%): - Arranging couriers and processing mail for RO staff. - Scanning, copying, and sending documents as required. - Maintaining archives and filing systems. - Scheduling appointments for RO staff and maintaining an electronic appointment diary in MS Outlook. - Organizing conference and meeting room bookings. - Arranging transportation for EBRD visitors upon request. - Providing secretarial backup to support bankers and assisting administrative staff as needed. - Managing staff whereabouts schedules and checking general RO email for forwarding to relevant staff members. - Assisting with local visa arrangements for staff and coordinating with the foreign ministry as necessary.
Required Qualifications: Candidates must possess a minimum of secondary education, with a preference for university-level education. Previous experience in a receptionist or secretarial role is essential. Familiarity with office equipment such as fax machines and photocopiers is required. Candidates should demonstrate excellent verbal communication skills and a professional telephone manner, along with strong interpersonal skills. Proficiency in computer applications, particularly Microsoft Word and Outlook, is necessary, along with the ability to learn new skills as needed. The ideal candidate should be able to work independently, take responsibility, and collaborate effectively as part of a team.
