Job Overview:
The Logistics and Finance Support Assistant will assist the coordinator" style="border-bottom: 1px dotted #007bff !important;">Support Coordinator of the France Mission, collaborating with finance and logistics teams at the bases, coordination, and headquarters. This position provides a transversal view of the support functions of a multi-base humanitarian mission, with a particular focus on the Mayotte base regarding logistics, administrative, financial, and IT aspects. The intern will gradually gain autonomy under the supervision of the Support Coordinator, depending on their mastery of SOLIDARITES INTERNATIONAL's procedures and tools. The internship aims to discover the functioning of support functions and their interactions between headquarters, coordination, and bases; understand the main logistical, financial, and administrative processes; utilize SOLIDARITES INTERNATIONAL's tracking tools; participate in the monitoring of purchases, equipment, travel, and administrative documents; discover the specificities of project management in the French context, particularly in Mayotte; and develop organizational, analytical, monitoring, and coordination skills.

Duties and Responsibilities:
The intern will participate in various activities, including:
  • Purchases and Procurement: Assist in searching for suppliers, requesting quotes, conducting competitive bidding, and following up on purchases until payment; contribute to monitoring contracts and preparing monthly logistics packs.
  • Transport and Travel: Help organize and administrate travel arrangements, including transport, accommodation, and associated services; contribute to travel between mainland France and Mayotte and, if necessary, follow up on inter-base freight.
  • Equipment and IT: Participate in the reception, inventory, maintenance, and tracking of equipment; prepare IT materials and assist in integrating new employees in collaboration with headquarters; provide first-level IT support and follow up on requests requiring specialized intervention.
  • Accounting: Assist the Support Coordinator by checking, verifying, and archiving accounting documents; participate in first-level accounting controls and follow up on necessary documents for accounting processing.
  • Financial Management: Support the Coordinator in monitoring the budget (BFU) of projects, transversal expenses, and activities in Mayotte; contribute to preparing financial audits and tracking budget discrepancies or anomalies.
  • Administration and Coordination Support: Help update and archive administrative and logistical documents; contribute to updating the organizational chart and contacts; participate in meetings with logistics and administrative teams, particularly with Mayotte; provide occasional support to bases as needed and prioritized.

Required Qualifications:
Candidates should be students in management, finance, accounting, purchasing, logistics, administration, or business school, seeking a 6-month internship. They should be organized, rigorous, curious, and comfortable learning new tools; capable of managing multiple topics simultaneously; comfortable communicating with various stakeholders; autonomous while knowing when to ask for help; and interested in the humanitarian or associative sector. A first experience in an association or professional setting is a plus, but the organization primarily seeks motivated and curious individuals eager to discover the support functions of a humanitarian organization.

Educational Background:
The position requires candidates to be enrolled in a relevant educational program, such as management, finance, accounting, purchasing, logistics, administration, or business school. This educational background should provide the necessary theoretical knowledge and skills applicable to the internship's responsibilities.

Experience:
While a first experience in an associative or professional context is advantageous, the primary focus is on finding a motivated and curious individual who is eager to learn and explore the support functions within a humanitarian organization. The organization values enthusiasm and a willingness to engage with the tasks at hand over extensive prior experience.

Languages:
Fluency in French is mandatory due to the nature of the work and the location. Proficiency in English is also beneficial, as it may facilitate communication with international teams and resources. Additional languages relevant to the organization's operational areas would be considered a plus.

Additional Notes:
The internship is based at the headquarters of SOLIDARITES INTERNATIONAL in Clichy (92), accessible via the Mairie de Clichy metro station. The internship requires a mandatory internship agreement. Compensation is set at €4.90 per hour, calculated pro-rata based on actual hours worked each month (approximately 154 hours per month, equating to 22 days of 7 hours each). Public transport costs are covered at 50% by SOLIDARITES INTERNATIONAL, and meal vouchers worth €8.90 per day of actual internship work are provided, with SOLIDARITES INTERNATIONAL contributing 60%.
