Job Overview:
The Project Assistant position at FHI 360 is a vital role within the Meeting Targets and Maintaining Epidemic Control (EpiC) project, which is focused on HIV and global health security" style="border-bottom: 1px dotted #007bff !important;">security. The selected candidate will be responsible for providing essential administrative support to the project team, ensuring that all tasks are completed efficiently and effectively. This role requires a proactive individual who can manage multiple responsibilities, including scheduling meetings, maintaining project documents, and assisting with logistical arrangements for events and workshops. The Project Assistant will also play a key role in communication support, helping to compile materials for external stakeholders and ensuring that all project-related documentation is organized and accessible. The ideal candidate will have a strong interest in public health and a commitment to contributing to the success of the EpiC project.

Duties and Responsibilities:
The duties and responsibilities of the Project Assistant include but are not limited to: providing basic administrative support, scheduling meetings, managing expense reports, and tracking simple tasks. The assistant will support planning activities and prepare basic schedules, assist with managing small tasks, and maintain project documents. They will attend project meetings and prepare pre-meeting and post-meeting notes and memos. The role also involves planning for project-related meetings, including booking conference rooms, ordering catering, and preparing materials. The Project Assistant will support travel and logistical arrangements for events, conferences, and workshops, including invitations and procurement of materials. Additionally, they will manage electronic files, ensure adherence to project guidelines, support the identification of minor risks, and process payments by compiling payment packages and obtaining necessary approvals. The assistant may also be required to translate reporting deliverables and other materials as requested.

Required Qualifications:
To qualify for the Project Assistant position, candidates must possess a Bachelor’s degree in English, communications, project administration, social work, public administration, public health, or a relevant field. A minimum of 2 years of experience in an administrative or translation role is required, with experience in public health or NGO projects considered an advantage. Candidates should demonstrate strong organizational skills, the ability to prioritize tasks effectively, and a keen interest in learning new skills as part of a dynamic team. Excellent written and oral communication skills in both English and Vietnamese are essential, along with proficiency in the MS Office suite, including Word, Excel, and PowerPoint.

Educational Background:
The educational background required for the Project Assistant role includes a Bachelor’s degree in a relevant field such as English, communications, project administration, social work, public administration, or public health. This educational foundation is crucial for understanding the complexities of project management and communication within the context of public health initiatives.

Experience:
Candidates should have a minimum of 2 years of relevant experience in administrative roles or translation work. Languages:

Additional Notes:
The expected hiring salary range for this role is between VND 300,000,000 and 350,000,000 for the annual basic salary.
