Job Overview:
The Finance and Administration Officer position is integral to the consortium management structure for the Pathways to Protection (P2P) project, which is a collaborative initiative involving the Danish Refugee Council, Danish Red Cross, and the International Detention Coalition. This role encompasses a wide range of financial management and administrative responsibilities, ensuring that the P2P programme operates smoothly and effectively. The officer will be responsible for supporting the Consortium Management Unit (CMU) in daily financial operations, including budgeting, financial monitoring, compliance, and logistical support. The position requires a proactive approach to managing financial documentation and ensuring adherence to donor requirements, as well as providing administrative support for various consortium activities.
Duties and Responsibilities:
The Finance and Administration Officer will undertake a comprehensive set of duties, including but not limited to: 1) Finance: Supporting country offices throughout the project management cycle, including budgeting, financial monitoring, reporting, forecasting, and project closure in alignment with donor and DRC requirements. Reviewing implementing partner financial reports and ensuring timely posting and reconciliation in DRC’s ERP system. Maintaining tracking tools for partner financial balances and ensuring timely follow-up on outstanding items. Supporting local partners with budget follow-up and compliance. Consolidating financial documentation for reporting and audits, and following up on audit requests. Contributing to financial quality assurance and identifying compliance issues. 2) Administration: Planning and logistics for consortium workshops and events, coordinating travel arrangements for CMU staff, liaising with country offices on hosting arrangements, managing CMU office and accommodation arrangements, and maintaining administrative records related to travel and events.
Required Qualifications:
Candidates must possess at least 3 years of relevant experience in finance, administration, or a similar role, ideally within an international NGO context. They should have experience with budgeting, financial reporting, monitoring, and donor compliance, as well as working with implementing partners. Familiarity with ERP systems and financial reporting tools is essential, with knowledge of Microsoft Dynamics 365 and Power BI considered an asset. Strong organizational, analytical, and attention-to-detail skills are crucial, along with excellent communication and interpersonal skills, demonstrating cultural and gender sensitivity.
Educational Background:
A university degree in finance, accounting, business administration, or a related field is required. Alternatively, equivalent professional qualifications may be considered acceptable for this position.
Experience:
The role requires a minimum of 3 years of relevant experience in finance and administration, preferably within the context of an international NGO. Candidates should have a proven track record of managing financial processes and supporting administrative functions in a complex project environment.
Languages:
Professional fluency in English and French is mandatory for this position. Proficiency in additional languages may be considered advantageous but is not required.
