Job Overview: The Affiliate Contractor - Administrative Assistant (Protocol and Legal Support) will play a crucial role in supporting the IOM Ethiopia country office and the special liaison office in Addis Ababa. This position involves a variety of administrative tasks, particularly those related to legal and protocol matters. The incumbent will work under the supervision of the Head of Supply Chain Unit and the Administrative Associate, ensuring compliance with IOM's regulations and procedures. The role requires close coordination with the Office of Legal Affairs and the Human Resource Office, making it essential for the candidate to possess strong organizational and communication skills. The successful candidate will be responsible for reviewing contracts, liaising with government entities, maintaining confidential records, and assisting with immigration formalities for international staff and their dependents. This position is vital for ensuring that the IOM's operations in Ethiopia run smoothly and in accordance with legal requirements.
Duties and Responsibilities: The duties and responsibilities of the Affiliate Contractor include but are not limited to: reviewing contracts for compliance with IOM regulations, coordinating with the Office of Legal Affairs on legal matters, maintaining records of legal documentation, assisting with residency permits for international staff, providing guidance on immigration formalities, tracking travel documents, and keeping abreast of changes in national protocol rules. The incumbent will also participate in due diligence processes, assist with import and export clearance, and perform any other duties as assigned by the supervisor. This role requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently.
Required Qualifications: Candidates must possess a university degree in Law, Social and/or Political Science, International Relations, or a related field, along with two years of relevant professional experience. Alternatively, a completed high school diploma with four years of relevant experience is acceptable. The ideal candidate should have proven experience in legal matters, negotiation skills, and the ability to review legal documents. Familiarity with national laws and regulations, as well as experience in administrative services, is essential. Knowledge of IOM/UN regulations and the ability to work in a multicultural environment are also important qualifications.
Educational Background: A university degree in Law, Social and/or Political Science, International Relations, or a related field from an accredited institution is required. Candidates with a high school diploma must have additional relevant experience to qualify for the position. The educational background should provide a solid foundation in legal principles and administrative practices relevant to the role.
Experience: Candidates should have a minimum of two years of relevant professional experience in legal and administrative roles. Experience in international humanitarian organizations or government institutions is preferred. The candidate should demonstrate a strong understanding of legal codes, court procedures, and government regulations. Experience in preparing communications and coordinating administrative activities is also necessary, along with familiarity with enterprise resource planning systems and Microsoft Office applications.
Languages: Fluency in English, both oral and written, is mandatory. Knowledge of local languages is desirable but not required. The ability to communicate effectively in a multilingual setting is essential for this role, as the incumbent will interact with diverse stakeholders.
Additional Notes: The position is classified as an affiliate contractor role, which means that IOM covers occupational accidents and illnesses under the Compensation Plan. However, candidates are responsible for their own medical insurance for non-occupational issues.
