Job Overview: The Procurement Assistant GS5 position at WFP in Lomé, Togo, is a critical role within the Supply Chain unit, responsible for ensuring the efficient and effective implementation of procurement processes. The incumbent will work under the general supervision of the logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer and direct supervision of the Procurement Officer. The role involves interpreting and applying standard procurement procedures and practices, recommending actions to colleagues at various levels, and providing technical support to other staff members. The Procurement Assistant will execute and apply appropriate processes, procedures, and policies that facilitate the delivery of efficient procurement services. This position is essential for supporting WFP's operations in Togo, particularly in addressing acute food insecurity and malnutrition, and will contribute to the success of various procurement programs and operational activities.
Duties and Responsibilities: The Procurement Assistant will be responsible for a variety of tasks, including but not limited to:
Performing timely and efficient administrative procurement activities to assist administrators in acquiring the necessary goods and services for effective field operations.
Compiling data and preparing relevant documents to contribute to the success of procurement programs and operational activities, ensuring compliance with standard procedures.
Reviewing, recording, and prioritizing purchase requests, ensuring all supporting documentation is provided and funds are available for the acquisition of goods and services.
Coordinating and supervising the delivery of purchased products, verifying their receipt and inspection, and implementing follow-up measures to ensure products reach headquarters and field operations.
Conducting research and compiling information in standardized formats to facilitate informed decision-making and communicate information to stakeholders effectively.
Updating, managing, and maintaining appropriate databases and files to ensure information is accurate, structured, and accessible, facilitating compliance with reporting requirements.
Liaising with colleagues to ensure procurement activities align with broader programs and adopting a collaborative approach to meet assistance needs.
Providing technical support and/or assigning tasks to other support staff to help them carry out routine tasks in accordance with agreed standards and timelines.
Performing other duties as required.
Required Qualifications: The ideal candidate for the Procurement Assistant position should possess a secondary school diploma, complemented by a post-secondary certificate in Procurement Management, Public Procurement, Transport and Logistics, or a related field. Candidates should have a minimum of five (5) years of continuous work experience in procurement management, public procurement, transport and logistics, or a related field. The role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment. Experience in evaluating service provider performance against defined key performance indicators (KPIs) and assisting in the preparation of contractual documentation is essential.
Languages: Fluency in French (both oral and written) is mandatory for this position. A working knowledge of English at an intermediate level would be considered an asset, as it would facilitate communication with international colleagues and stakeholders.
Additional Notes: This position is a Fixed Term contract with a duration of 12 months, subject to renewal based on organizational needs and performance.
