Job Overview:
The Project Associate will work under the overall supervision of the Chief of Mission in the Netherlands and the direct supervision of the Senior Project Assistant for Labour Mobility and Resettlement. This role involves supporting the management of the Unit’s projects, assisting in the implementation and monitoring of project activities, and ensuring effective communication and coordination among various stakeholders. The Project Associate will be responsible for retrieving, compiling, summarizing, analyzing, and presenting information and data on specific project topics. Additionally, the role includes monitoring the project budget, acting as a focal point for administrative coordination, drafting reports and correspondence, and participating in meetings and conferences to assist in coordinating implementation activities with local authorities and partners. The position requires a proactive approach to problem-solving and the ability to work collaboratively with diverse teams.

Duties and Responsibilities:
The duties and responsibilities of the Project Associate include:
  • Supporting the management of the Unit’s projects by assisting in the implementation and monitoring of project activities.
  • Retrieving, compiling, summarizing, analyzing, and presenting information/data on specific project topics.
  • Monitoring the project budget by verifying the availability of funds, obtaining necessary approvals, and updating budget-related information.
  • Acting as the focal point for administrative coordination of project implementation, involving extensive liaison with diverse organizational units and external parties.
  • Drafting status reports, identifying shortfalls, escalating issues to the supervisor, and suggesting remedial actions to address delivery gaps.
  • Drafting correspondence on project issues and preparing and updating reports, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
  • Responding to complex information requests and inquiries, setting up and maintaining files/records, and organizing meetings, workshops, and training sessions.
  • Participating in meetings and conferences to assist in coordinating implementation activities with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders.
  • Assisting in monitoring the work of Implementing Partners and reporting non-compliances to the supervisor. 1
  • Providing guidance and training to new or junior staff members. 1
  • Performing other relevant duties as may be assigned.

Required Qualifications:
The required qualifications for the Project Associate position include:
  • A Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or a related field from an accredited academic institution with three years of relevant professional experience; or a High School diploma with five years of relevant professional experience.
  • Experience in liaising with governmental authorities, national/international institutions, UN agencies, and non-governmental organizations.
  • Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
  • Prior work experience with international humanitarian organizations, non-governmental or government institutions in a multicultural setting is an advantage.
  • Experience with project development is also considered an advantage.

Educational Background:
Candidates must possess a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or a related discipline from an accredited institution. Alternatively, candidates with a High School diploma must have five years of relevant professional experience. It is important that the educational qualifications are from accredited universities recognized in the UNESCO World Higher Education Database.

Experience:
The position requires candidates to have a minimum of three years of relevant professional experience if they hold a Bachelor’s degree, or five years if they have a High School diploma. Experience should include liaising with governmental authorities, working with migrants and vulnerable groups, and prior involvement with international humanitarian organizations or similar entities in a multicultural environment. Familiarity with project development processes is also beneficial.

Languages:
Fluency in English and Dutch is required for this position, both oral and written. All IOM staff members are required to be fluent in one of the IOM's official languages, which include English, French, and Spanish. Proficiency in additional languages may be considered an asset but is not mandatory.

Additional Notes:
This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for the Netherlands will be eligible for consideration. The initial contract may be for a duration shorter than one year to align with the work permit expiry date. Candidates should be aware that any offer made is subject to funding confirmation. The selection process may also be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar positions for a period of 24 months.
