Job Overview:
The Receptionist position at the UN House in Azerbaijan is a pivotal role that serves as the first point of contact for visitors, partners, and staff. This position is essential for managing front desk operations and providing administrative support to ensure the smooth functioning of the UN House. The Receptionist will be responsible for creating a welcoming and professional atmosphere, which is crucial for the organization's image and operations. This role involves coordinating with various UN agencies located within the UN House, assisting with meetings, events, and correspondence, and performing a variety of administrative tasks. The Receptionist will play a key role in maintaining the security and professionalism of the reception area while ensuring that all visitors receive accurate information and assistance. This position requires a proactive approach to managing a high volume of visitors and requests, demonstrating strong organizational skills and the ability to multitask effectively.

Duties and Responsibilities:
The Receptionist will have a comprehensive set of responsibilities, including but not limited to: greeting visitors and directing them to the appropriate UN agency or office; answering and professionally routing incoming telephone calls; maintaining visitor logs and issuing visitor badges as required; coordinating with representatives of UN agencies regarding appointments and meetings; managing incoming and outgoing mail, correspondence, and deliveries for the building; coordinating diplomatic pouch deliveries for UN House agencies; monitoring the reception area and reporting any security or safety concerns; maintaining a clean, organized, and professional reception area; providing general administrative support to UN House management; responding to inquiries and providing accurate information regarding UN House facilities and services; assisting with administrative support for meetings, trainings, and events; monitoring meeting room schedules and supplies; preparing administrative correspondence for UN House agencies; and performing other related administrative and reception duties as required.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, with a diploma or qualification in Administration considered an advantage. A minimum of 2 years of relevant professional experience as a Receptionist, Front Desk Officer, Administrative Assistant, or in a similar role is required. Candidates should demonstrate excellent communication and interpersonal skills, fluency in Azerbaijani and English (both written and spoken), strong organizational and time-management skills, a professional appearance, and a strong customer-service orientation. Proficiency in MS Office applications and email communication is essential, along with the ability to handle confidential information with discretion and maintain neutrality and professionalism when working with multiple UN agencies. The ability to work effectively as part of a diverse and multicultural team is also crucial.

Educational Background:
The educational background required for this position includes a high school diploma or equivalent. Candidates with additional qualifications in Administration or related fields will have an advantage. It is essential that candidates provide evidence of their educational qualifications, which must be obtained from institutions accredited or recognized in the World Higher Education Database (WHED).

Experience:
The position requires a minimum of 2 years of relevant professional experience in roles such as Receptionist, Front Desk Officer, Administrative Assistant, or similar positions. This experience should demonstrate the candidate's ability to manage front desk operations effectively and provide high-quality administrative support in a professional environment.

Languages:
Fluency in Azerbaijani and English is mandatory for this position, both in written and spoken forms. Proficiency in additional languages may be considered an asset, enhancing communication with a broader range of stakeholders.

The remuneration for this position is set at a monthly salary of AZN 1,50
