Job Overview: The ILO Project Support Assistant G4 position is based in Pristina, Kosovo, within the Decent Work Technical Support Team/Country Office (DWT/CO) Budapest. This role is integral to the development cooperation project aimed at enhancing the employability of young people in the tourism sector, particularly within Kosovo's HoReCa (hotel/restaurant/catering) industry. The project seeks to address the complex challenges faced by key stakeholders in the sector, including the need for improved skills and competencies among the workforce and better awareness among employers regarding working conditions and productivity. The incumbent will provide essential administrative, logistical, and financial support to ensure the smooth operation of project activities. This includes drafting correspondence, managing office tasks, and liaising with various stakeholders to facilitate project goals. The position requires a proactive approach to problem-solving and the ability to work collaboratively within a diverse team.
Duties and Responsibilities: The duties and responsibilities of the ILO Project Support Assistant include:
Drafting standard correspondence and formatting various documents related to project activities, ensuring compliance with ILO standards.
Providing general office management and administrative support for meetings, seminars, and workshops organized under the project.
Updating project information on websites and databases, and responding to queries regarding project details.
Maintaining organized files, databases, and official records related to project activities.
Coordinating administrative arrangements for official travel, including travel authorizations and visa applications, and preparing cost estimates for travel-related expenses.
Compiling routine financial data and entering transactions into the ILO's financial systems.
Preparing and processing financial transactions, including contracts and purchase orders, and ensuring timely payments to resource persons.
Conducting market research to support procurement needs for the project.
Performing other related duties as assigned by the Senior Programme Officer.
Required Qualifications: The required qualifications for the ILO Project Support Assistant position include:
Completion of secondary school education.
At least three years of experience in general office management and clerical support work.
Experience in assisting with procurement processes for public institutions is considered an asset.
Proficiency in basic computer software, including Microsoft Word, PowerPoint, Excel, and Adobe Reader, as well as the ability to use other software packages as required by the office.
Strong organizational skills, with the ability to prioritize tasks and manage a heavy workload under time pressure.
