Job Overview: The UN Administrative Assistant position is crucial for the effective functioning of the UN Resident Coordinator's Office in Guinea. The role encompasses a wide range of administrative functions, including human resource management, budget and finance, general administration, and contract administration. The Administrative Assistant will be responsible for ensuring compliance with UN rules and procedures, providing support in recruitment and personnel management, assisting in budget preparation and monitoring, and maintaining effective communication with various stakeholders. Duties and Responsibilities: The Administrative Assistant will perform various duties, including but not limited to: initiating and processing human resource activities such as recruitment, performance appraisals, and training; responding to staff inquiries regarding administrative procedures; maintaining vacancy announcement files; assisting in budget preparation and monitoring expenditures; drafting routine correspondence; coordinating with service units; guiding junior staff; collecting and analyzing data for reports; assisting with contract administration; auditing contractor invoices; and processing payments. The role also involves ensuring the smooth operation of the office by managing travel programs, monitoring accounts, and organizing events.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A relevant first-level university degree may be accepted in lieu of two years of required experience. A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or a related area is required. Experience with an Enterprise Resources Planning (ERP) system, such as Umoja, is desirable, as is experience with the United Nations or similar international organizations. Candidates should also have experience in data analytics or related fields.
