Job Overview:
The Finance and Administrative Assistant position is integral to the EpiC Cameroon project, which is part of a global initiative funded by the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR). This role involves supporting the Finance Officer in managing financial transactions and ensuring compliance with both internal and external regulations. The assistant will be responsible for a variety of tasks including accounting, financial reporting, and administrative duties. This position requires a proactive approach to problem-solving and the ability to work collaboratively with project leaders and stakeholders to ensure the smooth operation of financial processes. The assistant will also play a key role in maintaining accurate records and documentation, which is essential for the success of the project.
Duties and Responsibilities:
The Finance and Administrative Assistant will have a diverse set of responsibilities that include: establishing and managing accounting record-keeping systems, managing project expenditures, preparing invoices, verifying advance requests and travel expense reports, supporting the finance officer in tracking funding requests, reviewing and validating supporting documentation for financial transactions, and ensuring compliance with established standards. Additionally, the assistant will handle administrative tasks such as receiving and distributing mail, scheduling meetings, preparing materials for conferences, and maintaining documentation and databases. The role requires attention to detail and the ability to manage multiple tasks efficiently while adhering to deadlines.
Required Qualifications:
Candidates must possess an Associate’s degree or its international equivalent, along with a minimum of three years of experience in accounting, finance, and administrative support. A strong understanding of Generally Accepted Accounting Principles (GAAP), budgeting, and fiscal control theories is essential. The ideal candidate will have excellent quantitative and analytical skills, strong critical thinking abilities, and proficiency in spreadsheet and database software. Organizational skills, attention to detail, and the ability to handle complex and confidential information with discretion are also required. The candidate must be able to work well with others and effectively analyze financial data.
Educational Background:
The educational requirement for this position is an Associate’s degree or its equivalent in a relevant field. This educational background provides the foundational knowledge necessary for understanding financial principles and administrative practices, which are critical for the role of Finance and Administrative Assistant.
Experience:
The position requires a minimum of three years of relevant experience in accounting, finance, and administrative support. This experience should demonstrate a strong understanding of financial management processes and the ability to work effectively in a team-oriented environment. Candidates should have a proven track record of managing financial transactions and supporting administrative functions in a professional setting.
Languages:
Fluency in both spoken and written English and French is mandatory for this position. This bilingual requirement is essential for effective communication within the organization and with stakeholders, as the project operates in a multilingual environment. Proficiency in additional languages may be considered an asset but is not required.
Additional Notes:
The expected hiring salary range for this role is between XAF 7,000,000 and 9,000,000 for annual gross salary for national local hires.
