Job Overview: The Administrative Officer will be responsible for delivering efficient and cost-effective administrative support services under the supervision of a designated supervisor. The incumbent will ensure that the office's administrative operations comply with UNICEF's policies, procedures, rules, and regulations. This role is critical in managing administrative staff and providing guidance on administrative support services. The position requires a proactive approach to budget management, property management, contract arrangements, and coordination of staff learning and development. The incumbent will also engage in partnerships and collaboration with various stakeholders to enhance the effectiveness of administrative operations.
Duties and Responsibilities: The key functions of the Administrative Officer include:
Developing and implementing policies, procedures, and strategies for administrative operations.
Managing the budget effectively to ensure optimal resource allocation.
Providing comprehensive administrative support and services to the office.
Overseeing property management, ensuring that all assets are accounted for and maintained.
Arranging and controlling contracts to ensure compliance with organizational standards.
Facilitating staff learning and development initiatives to enhance team capabilities.
Coordinating partnerships and collaboration with other organizations and stakeholders.
Performing any other duties and responsibilities as assigned by the supervisor.
Required Qualifications: Candidates must possess a completed First Level University Degree in social sciences, business management, administration, finance, or any other relevant field. Additionally, a minimum of two years of relevant professional work experience in office management, administration, finance, accounting, ICT, human resources, supply, or any other relevant function is required. Experience in emergency contexts is also essential. Candidates should demonstrate strong technical knowledge and service management skills.
Educational Background: The position requires a First Level University Degree in a relevant field such as social sciences, business management, administration, finance, or similar disciplines. This educational background is crucial for understanding the complexities of administrative functions and the operational environment in which UNICEF operates.
Experience: The ideal candidate should have at least two years of relevant professional work experience. This experience should encompass office management, administration, finance, accounting, ICT, human resources, supply, or other relevant functions. Importantly, experience in emergency situations is a prerequisite, as the role may involve responding to urgent humanitarian needs.
Languages: Fluency and proficiency in both Spanish and English are mandatory for this position. Additionally, knowledge of another official UN language such as Arabic, Chinese, French, or Russian is considered desirable.
