Job Overview:
The position of Coordinateur·rice Adjoint·e is under the supervision of the Coordinator of the International Conference on the Protection of Humanitarian Workers. The primary mission is to contribute to the development of the political framework and content of the international conference focused on the protection of humanitarian workers. This role involves participating in the development of the political and institutional framework of the conference, defining objectives, deliverables, structure, and agenda in collaboration with the Conference Coordinator. The position also requires assisting in institutional and diplomatic engagement, reviewing and supporting the implementation of the timeline and decisions made, and ensuring coherence between the conference framework and advocacy activities related to the protection of humanitarian workers. The role includes developing the program and content of the conference in collaboration with various stakeholders, managing the invitation list, and assisting in the management of relationships with international and national NGOs. Additionally, the position entails managing calls for applications for side events, preparing briefing materials for speakers, and co-authoring conference conclusion documents.

Required Qualifications:
Candidates must have 2 to 3 years of experience in an international NGO, humanitarian organization, UN agency, or a structure operating in an institutional or political environment. A strong understanding of the humanitarian sector, its actors, political issues, and the dynamics between NGOs, donors, and the UN is essential. The ability to contribute to a timeline, track task progress, and prepare notes, messaging elements, or working materials is required. Candidates should be comfortable collecting, structuring, and synthesizing information from diverse interlocutors (international/national NGOs, donors, institutions) in a multicultural context. Organizational skills, rigor, proactivity, and reliability in task follow-up are crucial, along with excellent written and oral communication skills, a sense of diplomacy, and prioritization.
Educational Background:
A relevant educational background is required, typically in fields related to international relations, humanitarian studies, political science, or a similar discipline. A degree in these areas would be advantageous, as it provides the necessary theoretical foundation and understanding of the complexities involved in humanitarian work and international cooperation.
Experience:
The position requires candidates to have a minimum of 2 to 3 years of relevant experience in the humanitarian sector, particularly within NGOs or international organizations. This experience should demonstrate a solid understanding of the operational and political dynamics of humanitarian work, as well as the ability to engage effectively with various stakeholders.
Languages:
Fluency in English, both written and oral, is mandatory for this position. Proficiency in additional languages, particularly French or other languages relevant to the humanitarian context, would be considered an asset and beneficial for communication with diverse stakeholders.

- Contributing to the definition of objectives, deliverables, structure, and agenda of the conference in collaboration with the Conference Coordinator.
- Assisting the Conference Coordinator in institutional and diplomatic engagement as needed.
- Reviewing and supporting the implementation of the timeline and decisions made.
- Ensuring coherence between the conference framework and advocacy activities developed under the humanitarian workers' protection mechanism and related sectoral initiatives.
- Participating in the development of the conference program and content in collaboration with various stakeholders.
- Identifying the guest list in collaboration with stakeholders.
- Assisting the Conference Coordinator in managing relationships with international and national NGOs.
- Managing the call for applications for side events and following up with candidates (acceptance, refusals, logistical requests). 1
- Assisting the Conference Coordinator in sourcing high-level speakers for plenary sessions and panelists according to the format of different sessions. 1
- Organizing information meetings and briefings for speakers and moderators prior to the conference. 1
- Preparing messaging elements as needed, ensuring coherence and uniformity for conference staff. 1
- Supporting the preparation of communication materials and key messages in collaboration with the event manager. 1
- Participating in the development of conclusions and the post-conference action plan. 1
- Co-authoring conference conclusion documents (summary, key messages, action plan, etc.) and the action plan.

- The position is based in Brussels, with a salary range of €44,000 to €48,000 gross annually, depending on experience. Employees are entitled to 10 additional vacation days beyond the standard 20 legal vacation days. Benefits include meal vouchers, complementary hospitalization and dental insurance, group insurance (pension), and the possibility of teleworking, with 3 days of mandatory in-person attendance required for this role, aside from collective in-person times. There may also be potential field travel involved.
