Job Overview:
The Administrative and Logistics Technical Assistant plays a crucial role in supporting the logistics and administration functions within the organization. This position is responsible for implementing the logistics and administration portfolio according to the established Plan of Action. The assistant will provide basic support in logistics and administration, prepare status reports as required by management, and ensure proper filing of all support documents. The role also involves assisting in the planning and delivery of logistic and administrative activities, maintaining records, and promoting ideas for improvement in the logistic and administrative functions. The position requires a proactive approach to ensure compliance with NRC policies and donor requirements, as well as maintaining a positive working environment within the office.
Duties and Responsibilities:
The duties and responsibilities of the Administrative and Logistics Technical Assistant include adhering to NRC policies and guidelines, assisting with the implementation of logistics and administration functions, and providing basic support in these areas. Specific responsibilities include ensuring compliance with administrative legal requirements, maintaining cleanliness and organization in the office, managing tenancy agreements, coordinating travel arrangements, and providing reception services. The assistant will also monitor stock levels of refreshments and supplies, oversee timely payment of utility bills, manage office inventory, and promote awareness of organizational policies. In terms of logistics support, the assistant will ensure procurement processes comply with the logistics handbook, prepare RFQs, draft supplier contracts, and maintain updated contract management forms. Additionally, the role involves liaising with suppliers, organizing transport of materials, and ensuring accurate stock and asset reporting.
Required Qualifications:
Candidates for the Administrative and Logistics Technical Assistant position should possess a Bachelor’s Degree or Higher Diploma in Business Administration and/or a logistics-related field. A minimum of 3 years of experience in a similar role is required, with a preference for candidates who have worked in humanitarian or recovery contexts. Documented results related to the position’s responsibilities are essential, as well as knowledge of English, Swahili, and a local language. Familiarity with the context in Dadaab is crucial, and experience working with international non-governmental organizations (INGOs) in a similar capacity will be considered an added advantage.
Educational Background:
The educational background required for this position includes a Bachelor’s Degree or Higher Diploma in Business Administration or a related field focused on logistics. This educational foundation is essential for understanding the complexities of logistics and administration within a humanitarian context, enabling the candidate to effectively manage the responsibilities associated with the role.
Experience:
The position requires a minimum of 3 years of relevant experience in administration or logistics, particularly within humanitarian or recovery contexts.
