Job Overview:
The position of Coordinateur·rice Adjoint·e Conférence involves supporting the Coordinator of the International Conference on the Protection of Humanitarian Workers in developing the political framework and content for the conference. The role requires active participation in defining objectives, deliverables, structure, and agenda of the conference, as well as assisting in institutional and diplomatic engagement as needed. The successful candidate will also be responsible for ensuring coherence between the conference framework and advocacy activities, developing the program and content in collaboration with stakeholders, managing invitations, and organizing preparatory meetings for speakers and moderators. This role is crucial in preparing communication materials and drafting conference conclusions and action plans post-conference.

Duties and Responsibilities:
The duties and responsibilities of the Coordinateur·rice Adjoint·e Conférence include:
  • Participating in the development of the political and institutional framework for the conference.
  • Contributing to the definition of objectives, deliverables, structure, and agenda of the conference alongside the Coordinator.
  • Assisting in institutional and diplomatic engagement as required.
  • Reviewing and supporting the implementation of the timeline and decisions made.
  • Ensuring coherence between the conference framework and advocacy activities related to the protection of humanitarian workers.
  • Developing the program and content of the conference in collaboration with various stakeholders.
  • Identifying the list of invitees in coordination with stakeholders.
  • Managing the call for applications for side events and following up with candidates.
  • Assisting in the search for high-level speakers and panelists for plenary sessions. 1
  • Organizing preparatory meetings for speakers and moderators. 1
  • Preparing communication materials and key messages in collaboration with the event manager. 1
  • Co-authoring conference conclusion documents and action plans.

Required Qualifications:
Candidates must have 2 to 3 years of experience in an international NGO, humanitarian organization, UN agency, or a structure operating in an institutional or political environment. A solid understanding of the humanitarian sector, its actors, political issues, and the dynamics between NGOs, donors, and the UN is essential. The ability to contribute to a timeline, track task progress, and prepare notes and working materials is required. Candidates should be organized, rigorous, proactive, and reliable in task follow-up, with excellent written and oral communication skills, a sense of diplomacy, and the ability to prioritize effectively.

Educational Background:
A relevant educational background in international relations, humanitarian studies, political science, or a related field is preferred. Candidates should possess strong analytical skills and the ability to synthesize information from diverse sources.

Experience:
The position requires 2 to 3 years of relevant experience in the humanitarian sector, demonstrating a good understanding of the operational and political dynamics within the field. Experience in managing projects or events in a multicultural context is highly valued.

Languages:
Fluency in English, both written and spoken, is mandatory. Knowledge of French is also essential, given the location and the nature of the work. Additional languages may be considered an asset.

This is a fixed-term contract for 4 months, ending on 31/10/202
  • The position is based in Brussels, with a salary range of €44,000 to €48,000 gross annually, depending on experience. Employees are entitled to 10 additional vacation days beyond the standard 20 legal days, meal vouchers, complementary hospitalization and dental insurance, and group insurance (pension). The role requires 3 days of in-person presence, with the possibility of remote work outside of collective in-person times. There may also be potential field travel involved.
