Job Overview:
The internship is designed to provide operational support to the international logistics activities of the NGO. Under the supervision of the Stock, Transport & Customs Reference, the intern will assist in various themes including strategic stock management, organization of humanitarian transports, documentary compliance, and customs logistics. The role will involve hands-on experience in the logistics sector of an international NGO, providing a concrete understanding of the challenges related to humanitarian supply chains. The intern will also gain familiarity with professional tools and develop transversal skills such as rigor, coordination, and document analysis, while integrating into a dynamic team that facilitates communication between headquarters and field operations.

Duties and Responsibilities:
  • Support in stock management at headquarters and during emergencies, including receiving and processing supplier deliveries, preparing and processing stock exits (field materials, mission equipment, emergency kits), regularly updating stock tracking tools (ERP LINK, Excel spreadsheets), participating in monthly inventory management, verifying documentation for stock movements, conducting quality control upon receipt, assisting in planning internal replenishments and defining safety thresholds, contributing to the reorganization of storage spaces, signage, zoning, and floor marking, and participating in the management of dormant or obsolete stocks.
  • Participation in organizing the transport of materials, including physically preparing packages for shipment (kits, samples, spare parts), packaging, weighing, labeling, and ensuring compliance of shipments according to their nature (air freight, road transport, personal baggage, diplomatic shipments), drafting transport documents (pro forma invoices, packing lists, certificates of origin or use, transport letters), coordinating with transport service providers (couriers, freight forwarders, DHL, airlines), and updating shipment tracking tables.
  • Support in customs management and monitoring, including collecting, structuring, and synthesizing customs procedures by country of intervention, assisting in the creation or updating of customs practical sheets (SI formats), conducting occasional research on customs regulations, particularly for specific materials (WASH, medical, chemical products), verifying the completeness of customs clearance files (certificates, import authorizations, translations), and contributing to the standardization of customs practices within the service.
  • Contribution to the management of logistical purchases, including assisting in the preparation and follow-up of purchase files related to storage or transport (quotes, purchase orders, contracts, receipt documents), participating in updating supplier or contract tracking tables, conducting quality control of supporting documents (archiving, compliance, signatures), and assisting in logistical sourcing activities or transport benchmarking.
  • Contribution to capitalization and continuous improvement, including pedagogical contributions from the internship, discovering the logistical specifics of an international NGO, gaining a concrete approach to the challenges of humanitarian supply chains, familiarizing with professional tools (ERP LINK, SI procedures, donor documentation), and developing transversal skills (rigor, coordination, document analysis).

Required Qualifications:
Candidates should have a background in international purchasing, international trade, or logistics, preferably at the Bac +3/+4/+5 level. A genuine interest and motivation for the associative and humanitarian sector at the international level is essential. The ideal candidate should be curious, positive, possess strong writing and administrative skills, have good interpersonal skills, enjoy teamwork, and demonstrate rigor, organization, autonomy, analytical capacity, and adaptability. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required, along with fluent English language skills.

Educational Background:
The educational background required for this position includes a minimum of Bac +3/+4/+5 in international purchasing, international trade, or logistics. This level of education ensures that candidates have the necessary theoretical knowledge and practical skills to effectively contribute to the logistics operations of the organization.

Experience:
The position requires candidates to have some level of experience in logistics or related fields, ideally through previous internships or academic projects that demonstrate their understanding of supply chain management and humanitarian logistics. While specific years of experience are not mandated, a demonstrated interest in the humanitarian sector and relevant coursework or practical experience will be beneficial.

Languages:
Fluency in English is mandatory for this position, as it is essential for communication within the international team and for understanding documentation. Additional languages may be considered an asset, particularly those relevant to the countries in which the organization operates, but are not explicitly required.

Additional Notes:
The internship is set to begin in mid-August and will last for a duration of 6 months. The position is based at the headquarters of SOLIDARITES INTERNATIONAL in Clichy-la-Garenne (92110), Ile-de-France, France. The internship will involve a legal gratification of 15% of the hourly social security ceiling, calculated based on actual hours worked (approximately 154 hours per month, equating to 22 days of 7 hours each). The intern will be required to have an internship agreement. Public transport costs will be covered at 50% by SOLIDARITES INTERNATIONAL, and meal vouchers worth €8.90 per day will be provided, with a 60% contribution from the organization. Remote work is allowed for 4 to 12 days per month, and occasional external travel may be required for meetings, professional lunches, or campaign launch events.
