Job Posting Organization:
The position is located within the Meetings Support Section of the Meetings and Publishing Division of the Department for General Assembly and Conference Management (DGACM) of the United Nations. The DGACM is responsible for providing support to the General Assembly and other intergovernmental bodies in their meetings and conferences. The organization aims to ensure that all meetings are conducted smoothly and efficiently, providing necessary documentation and support to delegates. Job Overview:
The Desktop Publishing Assistant plays a crucial role in the digitization project by ensuring that Spanish language documents are accurately scanned, digitized, and formatted according to UN standards. This position requires a keen eye for detail and a strong understanding of desktop publishing software. The assistant will be responsible for performing quality control checks on digitized files, ensuring that all metadata is correctly entered and that documents conform to the UN's style and typographic standards. The role also involves researching and compiling information from various sources to enhance the quality of the documents being processed. The assistant must be able to work independently and efficiently, managing multiple tasks while adhering to strict deadlines. This position is particularly important as it supports the UN's mission of making information accessible and preserving important documents for future reference.

Duties and Responsibilities:
The Desktop Publishing Assistant will be responsible for the following duties:
  • Scanning documents to create digital versions.
  • Performing quality control checks on all digitized Spanish language files and related metadata to ensure accuracy and completeness before and after ingestion into the content management system.
  • Applying standard metadata entry rules in accordance with DGACM policies and procedures, including titles, dates, descriptions, subjects, speakers, intergovernmental body, personal names, and legacy technical metadata.
  • Researching, compiling, and consulting primary and secondary sources of information in cases where items have little to no information.
  • Checking files in and out of the publishing system database and ensuring that outgoing documents are submitted correctly in the respective language.
  • Performing other related work as required, demonstrating flexibility and adaptability in a dynamic work environment.

Required Qualifications:
Candidates must demonstrate professional competence and mastery of subject matter, including advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint), desktop publishing, and graphic software such as Adobe Creative Suite (InDesign, Photoshop, Illustrator, Acrobat). Knowledge of editorial and desktop publishing best practices is essential, along with familiarity with language terminology and metadata techniques. The ability to research, select, organize, and summarize information is crucial, as is the ability to apply good judgment in the context of assignments. Candidates should show pride in their work, be conscientious and efficient in meeting commitments, and demonstrate persistence when faced with challenges. Educational Background:
A high school diploma or equivalent is required for this position. However, university-level courses and/or formal training in desktop publishing, graphic art, design, multimedia, or a related field is desirable. Experience:
A minimum of five (5) years of experience in organizing and researching documentation for reference and/or filing purposes is required. Experience with paper records digitization using professional scanners and related software is desirable. Additionally, a working knowledge of Adobe Acrobat DC is preferred, as it will aid in the digitization and quality control processes.

Languages:
For this position, proficiency in English and Spanish is required. According to the UN Language Framework, candidates must demonstrate a minimum level II proficiency in reading, writing, listening, and speaking in both languages. This proficiency is essential for effective communication and collaboration within the UN's multilingual environment.

Additional Notes:
This position is classified as When Actually Employed (WAE), meaning that the duration of need for this temporary job opening is for an initial period of three months, with a possibility of extension. The maximum number of days that may be worked in a six-month period should not exceed four and a half months, and the work will be intermittent in nature. Selected candidates must be available at short notice for work assignments. It is important to note that candidates should have no expectation of any fixed-term appointment after the end of this temporary assignment. This position is subject to local recruitment, and applicants must be authorized to work for the United Nations in the duty station where the position is located.
